Job description / Role

Employment: Full Time

To manage all human resource elements of the Events staffing, uniforms, transportation, meal plan. Draw up scopes of work with the Event Manager for all staff involved in Events. To work with the Event Manager to ensure effective set-up and management of all bar operations and bar logistics aspects of the project from budget through to execution of each event. This includes the overseeing of all internal ELR / MMI employees, as well as agency employees.

The job holder is responsible and accountable for (but not limited to) the following:

Pre Event:
Work with both the F&B operations teams to plan the staffing levels for the event.
Confirm staffing levels with Events Manager
Source agency staff with Procurement, check quotations and qualifications to ensure the highest standards are maintained.
Interviewing and training of agency staff
Compile internal (ELR/MMI/COSTA) recruitment forms detailed job descriptions and confirmation of payment rates for all positions.
Forecast staffing levels and costs for Events Manager to input into the budget.
Source a company to provide staff catering working with Group Head of Culinary.
Work with Events Manager to ensure adequate space on site for welfare areas
Work with the Finance teams for their on-site requirements including uniforms
Use operations plans to book staff transportation using company provider and share with team
Research staff uniform providers for quality and cost work with Procurement.
Source and order staff uniforms, working with ELR & MMI marketing.
Administer all Accreditation processes for all events.
Produce a comprehensive staffing plan for all events to be shared with the operations team.
Administer all sub-contractor contracts, working with Head of Legal.
At Event:
Set-up staff welfare area and registration area
Set-up the finance offices
Manager the registration and staff allocation work with operations team
Oversee signing in / out of all staff
Be point of contact on site for all staffing issues
Oversee meal plan to ensure all staff get breaks
Post Event:
Collate all timesheets and upload them
Confirm staff pay with HR and ensure all staff who worked get paid.
Deal with any staffing issues
Work with agencies to ensure fair and accurate payment
Additional:
Ensure that event management is in line with agreed terms and contracts as outlined by Events Manager.
Internally manage ELR - MMI internal support service to ensure their cooperation and support in relation to the events business
Ensure that ELR - MMI and its customers are fully protected by ensuring the highest standards of health and safety at all events
Gather feedback from key stakeholders for each event such as suppliers, internal teams and management adding this detail into the post evaluation report and use this information to improve future events
Perform other duties as requested by the Events Manager.

Requirements

Skills

Essential:
Minimum 2 years relevant experience in events resource management, ideally within the UAE market
Must be able to handle pressure and long working hours, including weekends when most events take place.
Must be hands on and be able to effectively manage available resources.
Must be capable of managing all aspects of the financial, people, operational and commercial aspects of the business.

Desirable:
A strong ability to multi-task
A high level of organization and planning capabilities
A strong eye for detail
An effective and fluent style of communication across all levels
