Job description / Role

Employment: Full Time

-The incumbent will coordinate with the Sr. Operations and Property Manager and GM of Assets on the leasing strategy and tenant mix, prepare submissions / proposals to the Sr. Operations and Property Manager and GM of Assets Management on rent commencement, rent renewals, increases and reductions;

-The function includes:
•The preparation of annual precinct specific operational budget. Financial responsibility, effective cost control and profitability for Retail precinct. Identify problem areas and proactively improve performance. Recommend annual operating budgets and execute plans within relevant guidelines;
• Manage and oversee the day to day operational problems in conjunction with the Assistant Operations Manager(s) and to ensure the workflow process is maintained and adhered to on a daily basis;
• To develop a multi-year capital improvement plan for the precinct (CAPEX), and multi-year planned maintenance plans for the precinct with the assistance of the Facilities Management Company;
• Assume direct responsibility regarding operating expenses for the Retail precinct, financial control, expenses and revenues, creating opportunities to maximize revenues & return on investment of asset;
• This will also entail the preparation of routine and ad hoc reports and forecasts to senior management with the objective of keeping the management informed about performance of the Retail precinct and all other issues relating to operations and taking necessary action as required;
• To provide, on a day to day basis, the necessary permission & permits to external suppliers and Contractors;
• Ensure all compliance agreements are in place with business partners (shopping centre agreements, commercial agreements and working documents), ensuring that all Retail Assets are in compliance with local laws and regulations, introduce and manage the integrity and installation and any required aesthetic or practical enhancements;

- Tenant administration & interaction governed through the preparation and maintenance of:
• Rules & Regulations Manual for all Retail Tenants to adhere to, issuance of Authority to Trade to Tenants prior to opening, maintaining communication with all Tenants to improve performance, including interaction with the Retailers / Tenants to understand their needs and their satisfaction level and to find solutions whenever possible;
• Record all Retail Tenants sales revenues on a monthly basis or as determined by lease;
• Coordination with Tenants regarding signage, shop-fronts, back of the house facilities, waste removal or trash disposal, pest control, safety & security issues;
• Oversee and lend assistance with the marketing strategy, regularly meet with Tenants, other affiliated companies, departments and event organizers, provide supporting services for events and marketing promotions within the Retail Precinct / Mall. To issue Assets Management Retail Memorandum of Endorsement to Tenants & TCAD;

- Manage the Facilities Management Service Provider so as to ensure the efficient operation and delivery of soft services consisting of cleaning, security, safety, traffic, car parking management, housekeeping, pest control, waste management & engineering services. This would include the daily management of all components which make / form the Retail precinct including cleaning, security and maintenance;
- To monitor and follow-up on reactive, planned and preventive care / scheduled mechanical, electrical and plumbing maintenance, negotiate contracts for product services. These might include pest control, security, janitorial, maintenance, and other services. Negotiate on equipment and supplies including janitorial equipment, landscaping and office products;
- Develop a relationship with cleaning, security and maintenance staff, for smooth operation of the Retail Precinct / Mall / Shopping Centre and ensure that all compliance agreements are in place with suppliers (SLA’s, compliance agreements, maintenance agreements, installation agreements) and that SOPs for the Retail Precinct / Mall / Shopping Centre, security and cleaning (housekeeping) are monitored and followed-up;
- The incumbent will carry out the necessary staff planning and mentor a competent management team, coach and train the Assistant Operations Manager(s) for the execution of all operational processes, set goals and evaluate performance in accordance with corporate personnel policies and applicable laws;
- Assess and evaluate training opportunities from observations and company – define Best Practices and make recommendations to the Personnel Manager and execute action plans;
- Escalate personnel performance issues to Human Resources Department.

Requirements

1. Educational Qualifications:

- Tertiary Qualification, Bachelor Degree / Equivalent Diploma or an education/experience combination in the areas of Property Management, Project Management, Architecture, Engineering, Quantity Surveying, Legal, Financial, Business Administration or relevant discipline;
- Qualification / Certification in Shopping Centre/Retail Environment Management;
- Member of a relevant shopping centre body.

2. Experience:

- Minimum of 15 years experience in Shopping Center / Property Management in a relevant role;
- Experience in GCC preferable.
