Sales Administrator - Al Futtaim Motors - Toyota - Abu Dhabi

Besides Toyota, we also hold exclusive franchises for some of the world's top automobiles and automotive products like Hino - Japan's leading heavy-duty vehicle manufacturer, Toyo & Chen shin/ Maxxis tyres, GS & Panasonic batteries and many more.

We are currently looking to recruit an experienced Sales Admin Executive to work within our Toyota operations in Abu Dhabi.

The Sales Admin Executive is primarily responsible for providing administrative assistance to the showroom staff; particularly the Branch Manager, Sales Manager(s) and Sales Executives, to aid in achieving/exceeding the targeted sales of AFM Vehicles   (Toyota) while maintaining/ improving the customer service experience.

Your main duties within the role include the following:

* Ensure that all documentation for a sale/proposal are complete which includes: checking that the necessary approvals are obtained, documentation submitted by customers is complete, orders are placed for the purchase of vehicles and that the necessary entries are made in the respective manual/system records.
* Assist the Branch and Sales Managers by corresponding with information on products as well as liaising with internal departments as and when required (Logistics, PDI, etc..).
* Liaising with Logistics for follow up of inter branch transfers - B2B transactions.
* Assist the Branch and Sales Managers' monitoring of the Branch's performance by: collating information of the SEs' performance, product performance, maintaining & generate specific reports on a need basis as requested from the Sales Managers /BSM /SE and on the daily /weekly/monthly reports.
* Assist the Sales Executives for units status checking and arranging with Stock Management team or other branches for urgent units.
* Collecting and maintaining VCC and other important documents required.
* Liaising with workshop /Insurance Co for any accident units claim purposes and maintaining the contacts with them for future.

Requirements

The ideal candidate will have the following qualifications and experience:

* Must hold a Bachelor's Degree
* ICDL or equivalent desired
* Advanced Excel is a must
* At least 3 years of experience in a similar role gained in the Automotive industry OR secretarial experience at an executive level preferably in a Sales and Marketing department
* Good communicator in English; Arabic an advantage
* Excellent computer skills including MS Office (Word, Excel, PowerPoint)
