To provide cost effective and timely support to the business in the areas of logistics, sales administration and distribution, thereby ensuring best possible internal controls and customer service levels.

KEY ACCOUNTABILITIES:

• Ensures the utilisation of cost effective logistics to enable timely customs clearance and inland transport of units, and subsequent customer delivery of units.

• Ensures proper documentation and system adherence related to goods receipt, local sourcing, plus delivery and re-export of items.

• Provide support to sales team for preparation of quotations, sales orders and invoicing in the system.

• Ensures the availability of stock within prescribed constraints in order to meet customer demand at all times. Prepares the stock status report accurately and manages the delivery of units as per FIFO basis and as per orders placed by the sales team.

* Preparation of stock status report.
* Constant monitoring of stock to arrange delivery on FIFO basis.
* Preparation of units for timely delivery.
* Arrangement of transport with concern person responsible to arrange transports.
* Liaise with sales managers for customer delivery.

• Interacts with FAMCO International to ensure timely delivery and constantly follows up on the status of the order.

* Arrangement/confirmation of Freight forwarders.
* Liaison with shipper and freight forwarder for smooth delivery and clearance.

• Obtains rates of logistic services and selects the most cost effective and efficient agency for the clearance and inland transport of the units in timely and safe manner with the approval of Country Manager (Negotiation and monitoring of freight rates).

• Provides all documentation like LCs, customs clearance, export documents, inspections, exit forms, etc. to concern people to prepare GRN accurately and in time.

* Collection and submission of shipping documents for clearance of goods.
* Ensure inspection of goods prior to clearance from port.
* Ensure proper inspection of damage goods by insurance company.

• Interacts with persons from various agencies to ensure proper adherence to systems and procedures.

* Obtain up to date information from port and customs.
* Obtain up to date shipping information.

• Ensures that insurance covers for imported goods have been arranged and timely process of insurance claims for any loss or damage to the goods.

* Arrangement of inspection and processing of claim with the insurance Company.

• Ensures order units arrived as per ordered specifications and are delivered on time after being inspected before final delivery, to ensure conformity between product and client specifications.

* Monitoring of any deviation with our order specs and intimation to FAMCO International for further rectification.
* Interaction with product support department and workshop for further investigation.

• If applicable, liaise with body builders (super structures) or local service providers on specific customer requirements, ensures the unit is delivered and picked up in a timely and safe manner and coordinates with the workshop on any technical issues that may arise as a result.

* Timely delivery and collection of units for mounting of super structure.
* Intimation of specification of units to super structure manufacturer.

• Ensures timely creation of service notifications for PDI and stock maintenance.

* Monitoring of completion of job.
* Intimation to sales manager for readiness of unit.

• Ensures availability of transport cost for local delivery and provides the same to sales persons to keep exact provisions.

• Tracking of custom duty amount and intimation to sales persons in case of re-export.

• Liaise with sales team to create quotations in CRM, close follow up with sales team to convert quotes into sales orders when orders received.

• Follow up via open-quotation reports to Country Manager, and maintenance of quotation status.

• Provide full support till delivery of the units to end users in line with policy and procedures of company.

• Sales order processing through to final invoicing to customer.

Requirements

Minimum Qualifications and Knowledge: High Secondary School Certificate or Diploma

Minimum Experience: Minimum 3 years of experience in a similar job.
