Employment: Full Time

G4S UAE Operations is currently looking for a Scheduling Manager based in Dubai. Reporting to the Operations Director, the successful candidate will be responsible for maximizing the efficient deployment of labour, service delivery and ensure that billing and payroll data is accurate by ensuring that all contractual manning levels are maintained without incurring undue labour expenses. The role will involve regular contact with Contract Administration staff, Invoicing staff, Security Officers, Operations Managers and Customers.

The Scheduling Manager is responsible and accountable for (but not limited to) the following:

Liaising with Contract Admin staff to ensure that the Contract Hours database is updated daily as soon as new/lost business is confirmed.
Liaising with HR to ensure that all new joiners and leavers are entered into the core operating system as soon as they are entered onto the payroll.
Training and organizing junior scheduling staff to ensure that a forward schedule for ALL posts is issued at least 7 days prior to each shift, with SOs to be specified by name and rank.
Ensuring that each SO scheduled for duty is correctly qualified for the site and role/responsibilities and that the hourly rate of pay (including overtime where applicable) is no greater than that costed for the site under the contract.
Ensuring that labour shortages or surpluses are identified during the forward scheduling exercise and appropriate requests for hiring/recommendations to redeploy surplus staff are passed to the Ops Director and HR Manager at least 1 week in advance.
Ensuring that actual attendance is logged daily and compared to the forward schedule to ensure that staffs are conforming to the schedule. Act as the initial approver for changes to the schedule if justified by operational necessity provided that the local guidelines on maximum working hours, overtime and rest days are not breached. Note that this authority may also be delegated to junior schedulers in branches if agreed by the Operations Director.
Ensuring documented handover takes place between off-going and incoming junior schedulers at start and end of each shift.
Covering short notice security officer absence as cost effectively as possible and updating systems.
Arranging cover for short notice additional work and updating systems.
Producing standard reports as directed to cover the 5 Pillars of DL Management to the Ops and HR Managers on a daily, weekly and monthly basis, along with specific recommendations on manning levels at each branch. Reports may be required at Country, Branch and Site level.
Liaising with the Duty Managers as appropriate.
Taking responsibility and ownership of any query or problem through to resolution.

Requirements

Tertiary Education from a reputable university.
Minimum 2-3 years relevant experience.
Excellent English communication, both oral and written.
Proficient in using Computer Applications.
Ability to work under pressure.
Thorough knowledge of local labour law applicable to working hours and conditions and G4S local policy on working hours and overtime.
Demonstrated ability to conduct a monthly hours reconciliation analysis in accordance with the 5 Pillars of Direct Labour Management as outlined in the G4S Way.
Ability to demonstrate a mastery of the core operating system or manual process in place in the business.
Able to direct a team of junior schedulers operating across the branch network to ensure that advance schedules are completed and promulgated weekly, in advance.
Able to generate reports on the 5 pillars and service level related KPI Contracted, Scheduled and Actual Hours worked.
Able to generate an accurate file on approved Actual Hours worked to be sent to Payroll and Finance departments to generate the Payroll and Invoices.
Able to advise the MSS operations Head or MD on efficiency measures to be implemented in the event of new or lost businesses
Able to provide an accurate forecast of future personnel requirements by branch, customer and site, based on the business pipeline from Sales
Ability to use own initiative and abide by processes and procedures.
