Job description / Role

Employment: Full Time

Our Client is a leading Engineering Consultancy, stable & successful; they are currently looking for Secretary to work in their office in Manama Bahrain

Responsibilities:
- Perform tasks as the Managers first point of contact with people from inside and outside the Firm.
- Receive, screen and respond appropriately to telephone calls, inquiries and requests on behalf of assigned Manager(s) as directed by them; take accurate messages and follow up as requested by The Manager in order to ensure client enquiries are dealt with promptly and professionally.
Deal with The Managers incoming email, faxes and post as appropriate.
Liaise with clients and other staff in compliance with The Managers requests.
Organize and manage The Managers schedule, review schedule with The Manager on a daily basis, make and confirm appointments on their behalf and keep The Manager informed of daily agenda. Reschedule as requested.
Liaise with Administration Coordinator in regards to The Managers travel and accommodation arrangements.
Take dictation for assigned Manager, perform typing and transcription of documentation as required.
Compose and type letters, memos, correspondence and reports as requested by The Managers.
Maintain and update assigned Partners files to deal efficiently with paper flow and organization and storage of paper work, documents and computer-based information.
Perform other work related tasks as required.

Requirements

Requirements:
Bahraini National.
Minimum 2 years experience required as a Secretary or Administrative Assistant in a reputable company.
Excellent interpersonal skills.
Analytical and problem solving skills.
Effective verbal and listening communications skills.
Attention to detail and high level of accuracy.
Very effective organizational skills.
Computer skills including the ability to operate spreadsheet and Word processing programs.
Time management skills.
The incumbent must maintain strict confidentiality in performing the duties.
The incumbent must also demonstrate the following personal attributes:
- Be flexible
- Demonstrate sound work ethics
