The Role


This dual secretarial role will provide effective administrative support to the Senior Vice President, by processing correspondence and maintaining confidentiality at all times. In additional, there will be administration support required for the Commercial Sales Department to include phone support, meetings, calendars, and travel & expense reports as well as processing the department’s invoices including follow up with finance and raising requests for the Sales Department’s day to day requirements.
In addition, there will be the preparation of presentations, gathering of information and capturing of data from department heads in marketing, business development, communications, operations and business unit managers. Will also be expected to meet and greet customers and guests to the Senior Vice President’s office and act as advised by the SVP. Also, to ensure that the appropriate member of the sales team fulfils their requests. The incumbent will also process all the necessary documents, reports, travel arrangements and arrange business trips for the SVP and keep him updated of the Department’s activities during his overseas trip.

The candidate must be able to take and distribute minutes, maintain an accurate and updated filing system and act as a true professional at all times. Our client is looking for a minimum of three to four years experience in a large/multinational organisation within a sales department as a secretary or administration coordinator. Familiarity with sales related administration or secretarial functions is necessary.
