Due to continued success in the Qatar we are now seeking to add an Office Secretary to join an established professional team, committed to technical integrity, innovation and development of its people.

As part of our restructuring of our business we require an Office Secretary who will report directly to the Office Manager. The Office Secretary will provide efficient and effective direct support to the senior managers who are office based. General duties will include the production and issuing of formal correspondence, documents, and presentations, whilst managing our internal records, spreadsheets and databases.

Core Responsibilities:
- To support the head office management team in day to day duties throughout the project lifecycle from inception to completion.
- Provide support to the bid management team
- Using content management systems to maintain and update websites and internal databases;
- Arrange and attend meetings, organising the facilities, agenda, taking minutes and keeping notes; and distribution of approved meeting minutes.
- Ordering and maintaining stationery and equipment;
- Sorting and distributing incoming post and organising and sending outgoing post;
- Maintain personnel CVs and update when necessary.
- Assist with research into client organisations and local competitors.
- Liaising with colleagues and external contacts to book travel and accommodation;

- Organising and storing paperwork, documents and computer-based information;
- Photocopying and printing various documents, sometimes on behalf of other colleagues.

Requirements

- Extensive experience and expertise in a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Access, etc.
- An aptitude for using computer based system and techniques.
- Excellent Communication skills and the ability to work closely with team members located in different offices
- Understand general principals of a Business Management System
- Self motivated, willing to learn and flexible.

Desirable Experience:
- Experience of working within multicultural teams
- Experienced of working in the Middle East
