The Role


The Role


• Answer telephone and give information to caller, take message or transfer calls to appropriate individuals.
• Distribute incoming mails and other materials, and prepare answers to routine letters
• Arrange conference, meetings, and travel reservations for office personnel
• Complete forms in accordance with company procedures
• Compose, type, and distribute meeting notes, routine correspondence, and reports
• Greet visitors and callers, handle their inquiries and direct them to the appropriate persons according to their needs.
• Locate and attach appropriate files to incoming correspondence requiring replies
• Mail newsletter, promotional material and other information
• Maintain scheduling and event calendars
• Make copies of correspondence and other printed materials
• Schedule and confirm appointments for clients, customers, or supervisions
• Set and maintain paper and electronic filing system for records, correspondence and other material.
• Conduct searches to find needed information using such sources as the internet
• Coordinate conference and meeting
• Order and dispense suppliers
• Adheres to contents of the Company’s overall internal procedures and policies
• Perform such other duties that may be required from time to time

Requirements


Requirements


• Graduate with 3+ years of experience
• Good command in English
• Computer literate
• Preferably bilingual
• Holder of relevant professional qualifications is desirable
• Ability to type with high accuracy in English
• Ability to develop, manage and maintain filing system
• Ability to draft correspondence
• Ability to maintain appointment schedule and calendar
• Very good written and verbal communication skills
• Ability to multitask and work under pressure
