The Role


The Role


Provides operational support to the Clinical Curriculum Administrator and the Department of Medical Education in planning, coordinating and implementing the Clinical Curriculum at WCMC-Q. Also, provides some degree of administrative coverage for the Clinical Curriculum in the absence of the Clinical Curriculum Administrator.

Assists the clinical curriculum administrator in implementing the multiple clinical courses and clerkships that take place simultaneously at WCMC-Q, at Hamad Medical Corporation (HMC) and other health care affiliates.

Liaises with faculty at WCMC-Q and the staff in the Office of Curriculum and Educational Development (OCED) at the NY campus to acquire course materials. Assists the clinical course and clerkship directors to prepare and distribute course material, which include schedules, syllabi, lecture handouts and reading material. Ensures that the course materials are available on-line to both faculty and students in a timely manner.

Liaises with staff and faculty at WCMC-Q, the NY campus, HMC, and affiliated curricular sites to prepare the separate schedules for lecture, ambulatory, MICU, CCU, bed-side rounds, clinic assignment and other team activities related to clinical courses and clerkships. Assists the clinical course and clerkship directors with creation, publication, and maintenance of all the schedules.

Prepares, distributes, and collects student assessment forms from faculty at WCMC-Q, Hamad Medical Corporation (HMC), and other health care affiliates.

Compiles student assessment data, including final grade forms, and presents this data to course and clerkship directors for their review and approval. Assists the course and clerkship directors to finalize the grade forms and submits the forms to the registrar within the specified time frame.

Responsible for handling all arrangements related to the activities for clinical courses and clerkships, including hospital scrubs, books, HMC ID, access to HMC patients’ medical records and test results, transportation and itineraries for visiting faculty.

Assists the Clinical Curriculum Administrator with populating and maintaining the student related information databases for clinical courses and clerkships, electives in Doha, and sub-internships in NY.

Assists with the management of logistical arrangements and proctoring of both oral and written examinations, including National Board of Medical Examiners (NBME) shelf examinations for the Clinical Clerkships.

Ensures that all SOPs for clinical courses and clerkships are updated on a regular basis.

Contribute to the teamwork to ensure the quality of clinical curriculum team’s work such as the accurate grade data processing.

Maintains strict confidentiality and security of all student and faculty-related information. Performs other job related duties as required.

As required, provides supports for ad-hoc projects relating to the Department of Medical Education such as assisting with the proctoring of exams and supporting administrative meetings.

MINIMUM REQUIREMENTS

Bachelor’s degree

5 or more years of administrative experience.

Advanced English communication skills, both written and verbal.

Advanced organizational and planning skills are essential.

Accuracy for detail.

Service-oriented with ability to multi-task effectively in a busy environment.

Advanced knowledge and experience in MS Word, Excel, Power Point and databases.

Ability to work a flexible schedule as required. May require extended hours to meet demands.

PREFERRED REQUIREMENTS

Related experience in post secondary education and/or medical education systems is preferred.

Prior experience working in a multi-cultural environment.

Formal training and experience in project management.
