Job description / Role

Employment: Full Time

Performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise lower-level clerical staff.

Responsibilities:
- Coordinate and direct office services, such as records and budget preparation, personnel, and department requirements.
- Receive visitors and arrange meetings with department Director and staff.
- Keep diary for staff appointments for legal action.
- Open, sort, and distribute incoming mail, including faxes and email.
- Prepare invoices, reports, memorandum, letters, financial statements and other documents using Word Processing, Spreadsheet, database, and/or presentation software.
- Prepare responses to correspondence involving routine inquiries, base on retrieval of similar cases.
- Prepare agendas and make arrangements for committee, and other meetings.
- Do routine filing, typing,distribution of mails, faxing, etc.
- Retrieve legal memos and documents upon request and authorization.
- Keep records for legal opinion for easy retrieval.
- Assist in typing memorandum and prepare attachments and documents.
- Able to react to change productively and handle other essential tasks as assigned.

Requirements

- Minimum High School plus Secretariat Diploma or equivalent certificate
- Minimum 2 years in position with related experience.

The candidate must be able to type at a high speed and maintain systematized paper and computer records, send, receive and distribute email.

Preferred: able to take notes by shorthand
Language Skills: Arabic required and English
Computer Skills: Computer literate
