Job description / Role
The Shared Services Officer supports the construction team in Dubai by managing email communication between construction team members and the Proposal Center, for the preparation of plans in response to Requests for Proposals and other client requests, and with field operations for plans in response to small-scale construction, renovation and maintenance requirements. He also liaises with suppliers in a full range of industries to obtain quotations for parts, major equipment and supplies. The work is fast-paced in an environment that requires attention to detail and quick turnaround.
Good organizational skills are required, to direct, track and file daily email communications on many different projects, and to ensure customer and internal deadlines and all project requirements are met.
Good interpersonal and writing skills are required to communicate with suppliers in Dubai and internationally as required. An ability to deal effectively with individuals from a variety of cultural backgrounds is essential, as is an emphasis on relationship building, to ensure the companys requirements are met.
A background in construction is essential as the role requires an understanding of how parts, supplies and equipment are used in projects, and to discuss quality standards and other specific standards with suppliers and the construction team.
To support construction procurement, the Shared Services Officer:
Supports the construction & technical team by obtaining prices for requested materials and equipment.
Reviews the requirements in the BOM, drawings and specifications before forwarding same to suppliers and service providers.
Effectively and accurately communicates relevant project requirements to providers, including vendors, suppliers, dealers and manufacturers, to obtain necessary pricing, drawings and technical information, and forwards them to the construction team.
Ensures that providers supply the necessary information and quotes in a timely and cost effective manner.
Attends supplier meetings and assists with the determination of project requirements.
Arranges and attends meetings, taking minutes if necessary.
Tracks & manages orders, maintaining the procurement data sheet for each project awarded.
Keeps the team informed about project status and issues that may impact supplier relations.
Creates Purchase Requests, Purchase Orders and RFRs through e-SAP as required.
Coordinates with other company departments as instructed.
To provide administrative support to the construction and technical team, the Shared Services Officer:
Tracks and records incoming project requests and outgoing/submissions/proposals.
Informs the team of new project requests and deadlines.
Tracks the progress of work performed by team members for each project request against due dates.
Maintains good project documentation.
Assists the team with any other administrative work required.
Requirements
A background in the construction industry and in purchasing or construction supply is needed, with a minimum of five years experience required.
An ability to use SAP and other project management programs such as MS Project is an asset.
Good interpersonal skills are essential, including negotiation skills, project management skills, and communications skills in English.
A university degree is an asset for this position.
