Shipping Supervisor

Job description / Role

My client is a trading company with their primary business focus in Iraq.
They are currently seeking a Shipping Supervisor whose objective is to assure all company shipments will be loaded at the right time and reach warehouses in Iraq at the best rate and shortest transit time, and provide all support to logistics Department in Iraq to achieve their goals.

Duties
1. Service providers relationship
a. Maintain good relation with approved service providers
b. Work on improving list of service provider by searching new providers and improve the quality and rate of existing provider
c. Maintain and improve list of freight forwarders assuring obtaining best rate of services along with best service
d. Monthly updated freight rates by communicating service providers
e. Approving invoices of service providers
f. Checking demurrage invoices (in case) and obtain higher management approval
g. Evaluation of service providers 2 times per year (every six months)
2. Shipping
a. Booking containers bases on best rate and transit time
b. Follow up suppliers to load as per scheduled date (mentioned in Load request) and in case of any changes to inform back concerned person and wait for new approval to proceed
c. Cooperate with suppliers (in case supplier will handle COC) to apply for COC inspection after checking invoices and all other documents prepared by supplier before submitting and assuring values as per clearance invoice procedures
d. Assure COC is ready or inspection has been passed before loading (for shipments, suppliers will handle COC)
e. Start COC procedures and arrange for inspection until obtaining COC (for shipments, we will handle COC)
f. Update container monitoring log file
g. Inform concerned departments once loading is done
h. Follow up vessel to update all dates in container log file and updated brand managers, Finance Manager and Higher Management on ETD China C, ATA transit and final destination
i. Send to Iraq staff packing list of shipments will arrive Iraq Port
3. Logistics
a. Check draft shipping documents to supplier and approve (clearance documents)
b. Forward clearance documents to concerned persons in Iraq
c. Obtain official documents and forward to concerned departments
d. Prepare shipping documents for Dubai based shipments (invoice, Packing list and COO)
e. Communicate with clearance agent in Iraq port for Dubai based shipments to arrange stuffing and documents based on his recommendations
f. Work with third party logistics company to arrange loading as per the final load details
g. Liaise with freight forwarders to get release of each shipment on or before arriving Iraq port
h. Follow up returning container back to shipping line after unloading and to be returned back within 30 days from arrival Iraq port date to avoid demurrages
i. Keep updates on Iraq conformity standards / customs laws and regulations

1. Communicate and provide daily data to concerned departments (brand manager, Finance Manager & Managing director) on daily status of shipments, any changes on the plans and any other stuation may effect on business

Requirements

Job Requirements
1. Education : University Degree
2. Languages : English and Arabic
3. Experience :
a. 5 years related experience in shipping and logistics
b. Supervision role
c. Excellent knowledge of China shipping rules and ports
d. Excellent relationship and knowledge of freight forwarders and shipping lines
e. Good experience of Iraq ports rules and regulations
f. Good experience of Jebel Ali port rules and regulations
g. Good experience of shipping documents rules and regulations
h. Excellent experience of using MS office applications especially MS excel
i. Good experience of ERP systems
