Job Summary

Generating and maintaining strong business relationships between core clients within the region and assisting them with their Short Term Rental requirements to maximise their return on investment. This also includes obtaining new listings from individual landlords and ensuring quality assurance of BH services.


Main Responsibilities

1. Negotiating with clients and assuring that all relevant or available stock is released to short term customers. Producing proposals and achieving maximum revenue on behalf of the landlord by ensuring, in conjunction with Better Homes STR Leasing Agents, that all apartments carry as high an occupancy rate as possible. Liaising with the Leasing Department and the Marketing Department in this respect for advertising activities or opportunities.
2. Ensuring your remain abreast of tenant issues with maintenance, financing or other related issues to their rental apartment. Obtaining quotes from external suppliers and performing repairs quickly and efficiently when issues arise. Supervisor and liaising with maintenance contractors to ensure smooth and efficient running of the rental apartments. This will include coordination of routine or planned maintenance, as well as other maintenance work on an ADHOC basis.
3. Acting as the representative for both the landlord and Better Homes in establishing and maintaining harmonious living conditions for all tenants of the assigned units. Maintaining an accurate filing system so as to incorporate tenant information (tenancy agreements, relevant documentation, correspondence, etc), building/equipment maintenance and reports, occupancy and accounting records.

Other duties will include:
1. Attending listing appointments with the portfolio manager, providing appraisals, comparable market analysis and advising clients on all aspects of their properties, including market conditions, and expected rentals.
2. Marketing and promotion of properties using various means including the internet, newspaper, company brochures and by working with relocation agents.
3. Processing of rental applications including detailed screening of applicants and discussions with landlords.
4. Lease negotiations, preparation of tenancy agreements for new leases and renewals.
5. Payment of DEWA bills for on behalf of the Landlords.
6. Initial, final and routine inspections and written reporting to landlords.
7. Recognizing the need for, organizing and overseeing maintenance and renovations (liaising with approved service providers). Obtaining quotes and implementing property maintenance and repairs quickly and efficiently. Supervising and liaising with maintenance contractors to ensure the smooth and efficient running of all building equipment. This will include the co-ordination of routine or planned maintenance, as well as other maintenance work as it arises.
8. Achieving maximum revenue on behalf of the landlord by ensuring, in conjunction with Better Homes' leasing agents, that all units carry as high an occupancy rate as possible.
9. Liaising with strata, government and industry departments e.g. the rent committee of Dubai Municipality and RERA.
10. Ensuring an effective working relationship with the landlord and briefing the Portfolio Manager promptly on any significant issues arising from those contacts.
11. Ensuring, as far as possible, that tenants' complaints and concerns are attended with speedily and satisfactorily.
12. Producing a monthly report to the landlord and the Portfolio Manager. This should brief them fully on problems related to the running of the unit, and either outline the measures taken to rectify them, or make recommendations in order to correct them. Your report should include all additional reports required by the Portfolio Manager and follow the standardized template format for this document.
13. Collection and monitoring of rent payments and preparing documentation in the case of arrears (including termination notices).
14. Controlling petty cash so as to cover the cost of minor incidentals. A petty cash statement should be submitted to the finance division on a monthly basis (time frame as laid down by the finance division).
15. Maintaining an accurate filing system so as to incorporate tenant information (tenancy agreements, relevant documentation, correspondence, etc), building/ equipment maintenance and reports, occupancy and accounting records.
16. Ensuring that all relevant information is entered into the MasterKey software program in an accurate and timely manner, and that all renewal dates and maintenance issues are not only regularly monitored but followed up as necessary to ensure resolution.
17. Conducting any communication with landlords, tenants, clients and Better Homes staff in a professional and courteous manner.
18. Any other duties that may arise, or as directed by your immediate managers.

Requirements

What are we looking for in the ideal candidate?

1. Applicants from a Sales/Leasing background within Hotel Apartments or Short Term are preferred.
2. Excellent written and verbal communication.
3. Strong work ethic.
4. Time Management Abilities.
5. Flexibility and Adaptability.
6. Working well under pressure.
7. United Arab Emirates experience is a must.
8. Valid United Arab Emirates Driving License is required.
9. Motivated, hard working and have the ability to learn in a fast paced environment.
