Job description / Role

Employment: Full Time

1. Prepare Marketing LPOs, PRs and ensure accurate tracking and monitoring through the system: liaise with finance and accounting and the Regional Marketing Administrator to ensure accurate tracking and follow-up.
2. Prepare any related correspondence to assist the Marketing Operations Manager, such as memos, emails, etc.
3. To maintain an updated database of all the mall retailers
4. Organize and sort incoming and outgoing mail for the department
5. Handle all incoming calls to the department, screening where necessary and redirecting accordingly
6. Develop an accurate filing system for department and perform filing on an ongoing basis.
7. Maintain appropriate record keeping in line with Internal Audit standards. Make sure that systems and procedures followed by the department are in line with company procedures and Internal Audit requirements at all times.
8. Maintain accurate records of ALL Marketing expenditures.
9. Coordinate department related meetings; take and prepare minutes for timely distribution
10. Organize storage areas for the Marketing Department
11. Effectively communicate to other departments
12. Help liaise and coordinate communication between suppliers and Marketing department
13. Ensure all correspondence sent out by the department is checked for accuracy, grammatical/ spelling errors and is overall professional, and of high quality appearance prior to sending
14. Maintain continuous and effective coordination with mall retailers by ensuring prompt and accurate communication channels to and from the retailers (verbal and written)
15. Ensure effective implementation of events and promotions at mall level (follow-up on suppliers deliverables, timely executions and quality audit)
16. Work closely with Media and Promotions for the booking of the mall common areas for Marketing activations and events, and in-mall branding
17. Follow-up with WI agencies (ad agency, social media agency, PR agency..) on key deliverables, end of month reports and financial settlements
18. Follow-Lap on contract preparation and execution. Work closely with Legal on all short term and long term contract issuance and execution
19. Maintain record of sponsorship revenues and payments! receivables
20. Issue weekly and monthly reports on footfall and sales analysis, budget and forecast and other reports as requested.
21, Work with the festival coordinator and PR & Communications Manager to supervise CSR events and Government activations and events execution in the mall.
22. Conduct daily mall tours to supervise the execution of promotions and check Customer Service desks collaterals display and updates.
23. Supervise Customer Service weekly reporting on Customer feedback and channel the information received to the appropriate departments in the mall
24. Follow-up on the promotion redemption process at the Customer Service desks and maintain the appropriate records for prize submission and redemption reports
25. Review "Photography forms" sent by retailers, evaluate requests and provide recommendation for approval to the Marketing Operations Manager
26. Book photographers for promotions & events and maintain an up to date photo library.
27. Miscellaneous other tasks as reasonably required
