Tenancy Coordination Manager

Job description / Role

Employment: Full Time

- Responsible for creating & implementing tenancy design and coordination process in conjunction with; leasing, project delivery, development and asset management departments. Includes, all necessary procedures & documents to successfully deliver new retail & commercial tenancies within mixed-use development;
- Prepare & execute tenancy reconfiguration submissions in conjunction with relevant Al Qattara team members (& consultants) to obtain AAM, EHS & CED NOCs. Includes, merging and splitting of tenancies, generating revised LODs in conjunction with appointed lead Architect, technical MEP basebuild conversions, drafting scopes of works for each individual tenancy etc;
- Creation & execution of overall tenancy fitout master programme outlining timelines for delivery of all tenancies within mixed-development;
- High level review and sign off of all tenancy instruction & key target milestone schedules, in accordance with signed letters of offer executed by Al Qattara leasing department;
- High level management of tenant concept & schematic design submissions in accordance with individual appropriate design guidelines. Includes, day-to-day liaison between appointed project Architect of record & associated sub-consultants, tenant representatives and tenant architects/contractors/MEP engineers to successfully meet tenancy fit out target milestone dates;
- Collaboration between statutory authorities, tenant representatives, tenant consultants & contractors to obtain interior fit out design No Objection Certificates to allow commencement of works onsite by tenant contractor;
- Management of tenancy site-handover procedures to enable tenants contractor to mobilize onsite. Includes; General site inductions, MEP service provision signoff, administering EHS procedures etc;
- Continuous monitoring/tracking of multiple tenancy fit outs against agreed milestones. Includes; day-to-day liaison with tenant representatives, tenant contractors & consultants, detailed review of fit out programmes against key milestones, resolution of onsite technical design & MEP issues, periodic inspections and monthly reporting to Al Qattara senior management personnel;
- Administering milestone default & late opening penalty letters to tenants in accordance with signed tenancy lease agreement clauses. Ongoing liaison between tenant representative & leasing committee to resolve financial penalties imposed on tenants for missing key milestones;
- Undertaking final defect/snag inspections on newly completed tenancies and collaboration between authorities departments & tenant to obtain building completion certificates allowing tenancies to legally open for trade;
- Overall management of testing and commissioning of MEP services in conjunction within mixed use development with FM operations manager and tenants contractors and Consultants;
- Compile all tenancy as-built drawings, MEP testing & commissioning reports and administering the certificate of consent to trade for each tenancy;
- Supervision of defit process to bring tenancies back to predefined grey box shell for vacating tenants into the future. Includes, liaison with asset management operations department, tenants representative and contractor, MEP consultants and leasing department;
- Overall management and implementation of tenancy hoarding erections; Includes, review of basic hoarding design, quality control, cost control and suitable application of tenant graphical advertisement displays;

Requirements

- Fundamental understanding of the full tenancy coordination project delivery process.
- Clear understanding of development and construction agreements, contract procurement & programming.
- Concise knowledge of Statutory approval process & procedures (Including, site based EHS codes & standards necessary to maintain a safe working environment),
- Exceptional project management skills to balance competing priorities.
- Ability to manage internal and external resources to achieve positive outcomes.
- Capacity to make decisions.
- Sound negotiation skills.

- Aptitude for managing risks associated with the delivery of individual tenancy design & performance briefs objectives, in terms of time, cost, quality, financial and environmental parameters.

Preferred tertiary qualifications
- B. A in Project/Construction Management) Diploma of Building.
- +10yrs Overall experience in numerous facets of the development and building industry.
- +3yrs UAE project management experience.
