PURPOSE OF THE JOB

To ensure that the Retail Stores are open to trade within the timeframe as stipulated in the lease agreement and in compliance with the Tenant Coordination process established within the Organisation.
The objective being to meet targets related to the profitability of the Retail Node and an increased revenue stream for the owners, investors and stakeholders.

PRINCIPAL ACCOUNTABILITIES

To lead, manage and mentor the Tenant Coordination team effectively in their day to day tasks in order for the team to complete the fit out of retail units timeously, and thereby put in place the means by which the Landlord, Owners and Stakeholders can realize a return on investment.

To build a cohesive unit with common goals and that is dedicated to ensuring that the internal and external Customers expectations are met. To maintain a strong ethos of serving the best interests of the Landlord while delivering the best possible 5 Star service to the Tenants

To manage and supervise the established processes related to Retail Tenants during the design and fit out phase of their leased space and to make recommendations for change if and when required in order to streamline and update the processes.

To produce regular accurate reports on which income / expenditure and the progress of project in terms of occupancy and revenue stream can be evaluated in order for senior management to make informed decisions on business policies.

To perform the day to day Tenant Coordination duties for retail tenants.

Establish, Manage & Monitor the Communication Channels with Internal and External contacts and customers.

Oversee and Manage the Coordination process between Retail leasing, Retail Precinct Manager, Technical Committee, UFMCO, Project Development and Engineering and Construction departments, in order to deliver the Retail stores timeously. To arrange meetings between stakeholders in order to swiftly resolve issues arising as a result of the fit out, to set agendas and record minutes.

Ensure that appropriate documentation is obtained at various stages of the Design / Fit out process, such as, Concept approval, Construction Drawing approval, MEP installation Inspections & Final Inspection certificate from all the respective stakeholders timeously.

Maintain records of and initiate, as required from time to time, the formal documentation (Memos, Letters etc) covering all pertinent interdepartmental issues and Tenant Issues which impact on the fit out of the Retail Tenant’s unit.

Consolidate records and continuously update all tenant related design / construction activities in the management report.

Regular surveying of tenant spaces to determine construction pace, anticipate possible problems and facilitate the finding of solutions together with the Landlords Consultants / Technical Team in order to keep the fit out on track.

Design Review Committee member / participant.

Requirements

Degree in Engineering / Architectural / Interior Designing

Minimum of 10 years experience, of which 5 + years retail construction experience

Knowledge of construction methods and procedures

Ability to identify high standards of work and identify problem areas at an early stage in order to pre-empt serious issues developing.

Ability to read and understand architectural construction and MEP construction documents.

Ability to multi-task and deliver results timeously in terms of the Landlords projected income stream.

Computer literate in applicable packages

Effective written and verbal communication skills

Strong interpersonal skills and work ethic, and a willingness to share skills with others.

Strong ability to establish priorities and delegate responsibilities

Should be a team leader and effective communicator.

Should possess training and coaching abilities.

Should have strong organizational communication and motivational skills.

Should have a positive and optimistic attitude when faced with challenges.
