Job description / Role

Employment: Full Time

Our client, a large holding company, is urgently looking for a Personal Assistant to the CEO. For this role, you will have the responsibility of but not limited to:

Manage CEO calendar, interacting with internal and external executives, consultants and assistants to coordinate a variety of executive meetings.
Answer phones and direct all incoming calls to appropriate party or to CEO promptly and efficiently.
Communicate and handle incoming and outgoing electronic communications on behalf of the CEO.
Screen incoming emails and distribute them to relevant stakeholders for action or follow up.
Assist the CEO with preparation of presentation materials at the level of Board and senior management.
Handle CEO office / function routine correspondence.
Order office supplies as needed.
Ensure meetings are scheduled that effectively use the CEOs time wisely.
Book meeting rooms and venues.
Book hotels and conference rooms when required.
Create execution numbers and filing protocols to assist in document control process.
File documents and contracts in soft copy as required.
Process CEO Office invoices.
Prepare background documents and outgoing mail as necessary.
Ensure all office files are managed according to confidential and internal processes.
Review and summarize miscellaneous reports and documents.

Work closely to other administrators to ensure coordination and alignment of duties and processes.
Support the CEO for projects when required.
Launch projects as required.
Create power point or reports when directed.
Coordinate with Travel Agent for CEO travel requirements.
Complete forms and submit documents are per policy and procedures.
Ensure all stakeholders are aware of requirements.
To be focal point and assist the CEO to manage performance management scheduling and follow up.
Able to perform CEO Office internal system functions for the CEO ( requests, requisitions, reports, CEO calendar )
This includes participation (when requested) in QHSE audits, office administration, incident reporting and review of QHSE performances as applicable.
Plan training and development for UAE Nationals.

Requirements

To be considered, you must be a university degree holder with minimum 5 years of experience in the same role. Fluency in English is highly required. You should be presently residing in the UAE and preferably, can join immediately.
