Job description / Role

Employment: Full Time

Objective: To provide administration support as part of a team of dedicated professionals, to ensure that the team succeeds.
Main responsibilities : The Administration Officer will be responsible for all administration matters. This includes, but is not limited to:
- Formatting reports in English and Arabic. Translating documents.
- Preparing project outputs, including reports, for distribution to clients. This may include printing, collating, binding, envelope stuffing, addressing and posting or arranging couriers
- Maintaining project, administration and business records (electronic and hard copy). Maintain and update all necessary records, files and database.
- Answering telephones with efficiency and courtesy, taking messages and ensuring messages and calls are directed to the right staff
- Data entry
- Transcribing audio tapes (recordings of meetings or notes)
- Sending and receiving e-mails and faxes, and ensuring faxes are received by the right staff
- Copying and printing as required
- Purchasing office supplies, and managing stationary stock
- Managing petty cash
- Booking travel (eg flights, accommodation) and venues
- Preparing and sending invoices
- Checking expense claims and receipts against company policy
- Travelling to other places to conduct business and transactions on behalf of the company (eg post offices, government and client offices, suppliers)
- Welcoming and looking after visitors, including refreshments
- Other tasks as required by the Regional Manager.

The Administration Officer will need to follow ARRB company policy and procedures at all times, and provide assistance and guidance to other staff with the same. If required, the Administration Officer will act as Chief Fire Warden and ensure all health and safety requirements as required by law and company policy.

In addition, the Administration Officer will assist the Regional Manager with e-mail and diary management, including travel arrangements (taxi's, drivers) to attend meetings and events.

Duration : 2 years
Desired start date : June 2008
Probation : 3 months
Working hours : 8.30am - 5.30pm Sunday - Thursday
Travel requirements : Weekly with Dubai, occasionally within UAE
Gross monthly base salary : 8-12,000 Dirhams per month, depending on candidate

Requirements

Required:
University degree
Minimum 2 years office management experience
Written and spoken proficiency in English and Arabic
Excellent time management skills
Above average organizational ability
Ability to multi-task and to respond to a variety of issues in a timely manner
Excellent Microsoft Excel, Word, PowerPoint, Outlook skills
Culturally sensitive, including dressing conservatively
Confidential, tactful.
