The Role

Aconex is a dynamic, international company providing online document management services to construction, engineering and facility management industries. With clients in over 50 countries using Aconex to manage projects worth over $180 billion, every day presents new challenges. We need energetic people with initiative and who are keen to learn to help us grow the business.

Due to the growing needs of the business in Tripoli, we require an Office Manager to oversee and manage the set-up of the office and establish local administrative procedures.

Responsibilities of this role include:

- Work with Senior Managers and secondary Business Units to establish and monitor local procedures for payroll, HR, admin and other finance matters
- Oversee administration functions ongoing
- Manage external contractors and service providers (telephone, mobile, internet, cleaning etc)
- Assist the Client Operations and sales staff with reporting
- Ad hoc projects to assist operations
- Responsible for operating/ driving visa issues, visa applications etc
- Responsible to new staff setup, working with the HR team to provide equipment, induct them into the company etc.

To be successful in this role you will possess the following skills:

Essential

- Proven experience in a busy administration role
- Strong skills with MS Word, Excel, Powerpoint and Outlook
- Experience liaising with suppliers (eg stationery, phones, equipment)
- Good knowledge of internet and ability to research
- Ability to work autonomously
- Well organised
- Strong attention to detail
- Positive, friendly phone manner
- Excellent communication skills (both verbal and written) in Arabic and English
- Ability to liaise with a wide variety of staff and suppliers
- Fast learner

Desirable

- Prior experience booking travel and accommodation and arranging visas for travelling staff
- Previous experience documenting and implementing administrative procedures
- Ability to speak and write in French or Spanish
