Employment: Full Time

Serving as an administrative assistant to In-country Lead and Program managers, this position will be supporting a team operating in Salalah and Thumrait Air Force Bases.

Maintain close coordination between DESIGNATED IN-COUNTRY REGISTERED ENTITY office and Corporate offices (as applicable) to assure cross communication of impacting programmatic and administrative actions, and general relationship.

Set up major conferences and meetings as required. Coordination and assistance for traveler arranged through designated Local Agency as required. Supporting ExPats and visitors as required. Locating and engaging the services of local businesses to maintain Local Program Office in-country. As required, assisting with legal registration activity in association and coordination with Immigration Lawyers. Informing local government offices of any changes in the company registration.

Serving as an interpreter in securing housing (if required), furniture, autos, telephone / utility hook-up, etc. and coordinating these items with DESIGNATED IN-COUNTRY REGISTERED ENTITY personnel and dependents to facilitate, if not specifically implement process of negotiation, interpretation, and recommendation for local housing rental (if required), housing utilities, auto rental/lease, and health club (as applicable) contracts for expatriates.

Responsibilities can include liaison with local subcontract agents to understand market price and price range for local market assets; recognition and negotiation of potential price increases/reductions to accommodate company/expat requirements; interpretation and negotiation of contract clauses to ensure lowest risk exposure for company/expat agreements; liaison with local housing and utility agents to gain rightful access to housing under lease for purposes of executing inspections and maintenance; handles all complaints and attempts to reach satisfactory resolution of the issues that are relevant for both sides.

Principle interface with local and national government representatives responsible for immigration and emigration of expatriates and their families. Responsibilities include completing and submitting all necessary local forms and coordinating with personnel for acquisition of U.S. documentation required for the processing of immigration/emigration of expatriates, including employees, spouses, children, and pets; keeping up to date on all changes to immigration/emigration laws to ensure the safe entry/exit of personnel; interpretation, execution, and, if necessary, negotiation of immigration/emigration clauses that would prevent/exclude the entry/exit of personnel; interfacing with sponsoring company to prevent violation of policies and processes deemed necessary to safeguard the sponsoring company from any legal action; monitoring on-going status of all expatriates and family members to ensure compliance with term limits.

Principle interface with expatriates and their assigned in-country sponsoring company task management personnel to ensure clear understanding of task assignments. Provide translation services and communication assistance between DESIGNATED IN-COUNTRY REGISTERED ENTITY and key customers. Responsibilities can include translation of memos, presentation materials, and documents that provide clarity to task assignments and/or organization interfaces/changes; periodically attend joint meetings, as requested, to translate key points for all attendees to ensure clarity and understanding of messages/actions being communicated.

Negotiation with in-country hotels and manage renewal of agreements. Manage review and renewal of Stand Group Medical Service Membership Agreement for DESIGNATED IN-COUNTRY REGISTERED ENTITY expatriate personnel. Support transient travelers with coordinating arrangements such as hotel, flight and rental car reservations. Manage ex-pat in-country and out processing. Manage DESIGNATED IN-COUNTRY REGISTERED ENTITY inventory

Primary office Accountant, executing accounting and banking activities and keeping financial records for the Local Program Office in-country. Executing monthly reconciliation of operating funds and petty cash for the Local Program Office in-country. Executing tax matters in association and coordination with Ernst & Young, Corporate income tax, consumption tax and depreciable tax returns and payments. Executing employees withholding tax matters in association and coordination with Tax Consultant. Executing local employee salary and social welfare activities in association and coordination with Tax Consultant. Executing annual legal report to Tax Office in association and coordination with the Tax Consultant. Locating and engaging the services of local business to coordinate life-support functions for DESIGNATED IN-COUNTRY REGISTERED ENTITY personnel and dependents throughout their assignment in-country. As required, assisting with application for re-entry permits and VISA extensions for DESIGNATED IN-COUNTRY REGISTERED ENTITY personnel and dependents. Coordinating repatriation activities of departing DESIGNATED IN-COUNTRY REGISTERED ENTITY employees.

Requirements

* Previous experience of managing the day-to-day running of an office would be advantageous.

* Experienced in performing administrative / PRO tasks.

* Ability to work in Salalah.

* Fluency in Arabic.
