Job description / Role

Employment: Full Time

Salary: AED 15,000

A diverse investments company is keen to hire a Team Assistant / PA to provide professional support to the Owners and Directors of this growing business.

Responsibilities:
- Manage the calendar and independently schedule appointments.
- Screen incoming calls and correspondence and respond, independently, when possible.
- Arrange programs, events, or conferences by arranging the facilities, the caterer, issuing information or invitations, coordinating speakers, and controlling the event budget.
- Prepare records such as agendas, notices, minutes, and resolutions for retail meetings.
- Organize / coordinate business trips and prepare managers expense reports.
- Assisting and providing support in maintaining and monitoring a calendar of important dates for the Board & Board Committee. Preparing circular resolutions and credit facilities from Memos.
- Handle the Chairman and Board Members issues, attending their inquiries, attend the Bank's Board of Directors Meetings and collect and update their information (i.e. profiles, biographies...).
- Creating Board / Board Committee Meetings on IPad and uploading all supporting document.
- Providing support to ensure that accurate and sufficient documentation exists to meet legal requirements and preparing proposed resolutions before meetings.
- Managing appointment calendars, scheduling meetings and conferences, coordinating meeting arrangements.
- Responsible for travel arrangements, schedules and reservations including the preparation of travel itineraries, visa applications and agendas.
- Supporting Board directors using a variety of software packages such as word processing, spreadsheets, graphics and Microsoft Outlook to produce and distribute letters, memoranda and reports.
- Oversee all matters relating to the Board Directors office. Maintain highest level of confidentiality in regards to information in / out of the office.
- Prepares room for meetings.
- Prepare slides, creating and maintaining spreadsheets and Monthly / weekly reports.
- Collate and prepare presentations in power point and excel.
- Proactively develop and maintain a database of document template such as letters, memos etc.
- Translation of business documents and correspondence both (Arabic / English).

Requirements

- Degree is preferred.
- 2 - 3 years experience in a similar position.
- Proficiency in Microsoft office Word, Excel, and PowerPoint required.
- Fluent English and Arabic are essential.
- Good planning and organizing skills, ability to prioritize and plan work activities; ability to multi-task.
- Good communication skills, written and verbal.
- Good time management skills.
- Availability to work extended hours.
- Pro-active and dynamic.
- Team oriented.
