Job description / Role

Employment: Full Time

Provide buying services to internal customers so that quality, cost and time targets are met in line with the department Service Level Agreement and relevant policies, procedures and guidelines.
Monitor and follow-up at all times assigned purchase requests (PRs) and be fully aware of their status in the procurement process.
Contribute to the preparation, processing and compilation of requests for proposal (RFPs) and requests for quotations (RFQs) to invite suppliers to submit proposals and quotations in line with internal customer requirements and in line with supplier capabilities.
Appropriate selection of vendors for Tendering / RFQ by understanding their capabilities and strength.
Manage clarification to and from suppliers in line with the relevant policies, procedures and guidelines.
Receive and open submitted proposals and quotations in line with the relevant policies, procedures and guidelines.
Conduct, jointly with the end user department, an in-depth analysis of all bids received in response to Tenders and RFQs.
Perform the commercial evaluations of bids to ensure their compliance with Orpics commercial terms & conditions and price requirements.
Conduct simple negotiations with suppliers as required and as per the delegation of authority prescribed by Orpic management.
Issue a Purchase Order or a Purchase Contract in a manner that meets the relevant procedures, guidelines and checklists.
Conduct or provide input to performance reviews of existing suppliers and monitor supplier conformance with simple contracts to develop supplier capability and maintain quality.
Post award handling of all procurement related issues like variations and supplier performance monitoring
Proactive expediting of all PO especially all urgent and critical requirements.
Assist in the custom clearance of goods and facilitate logistics services as per the Purchase Order terms in order to meet Orpic requirements.
Coordinate with government agencies to facilitate licensing processes etc.
Ensure that delivery of material / services results to quality, cost and time targets and ensure all relevant procedures and instructions are observed.
Ensure that all Material Discrepancy issues are timely and effectively settled.
Resolve and facilitate where applicable all supplier related matters and issues such as the ones related to payment.
Assist and maintain relationships with vendors to ensure exchange of all relevant information so that purchases progress in line with timelines and requirements.
Study market trends and provide relevant information and reports as required to keep internal customers informed of important developments and ensure on-going supply availability.

Requirements

- Bachelors Degree in business administration or other commercial discipline
- Professional qualification in purchasing is an added advantage
- 2-4 years of experience in procurement - should be in a similar industry for technical procurement jobs
