Job description / Role

Employment: Full Time

Documentation unit is responsible for supervising and ensuring that standard documents with standard clauses are used by the businesses as per the banks internal policies.

Responsibilities:
- Receive necessary credit documentation (loan agreements, support, and collateral documents) as stated in the banks internal policy and procedures manual and or any specific comments mentioned in the CA package by the approving authority.
- Ensure that customers has delivered the identity and legal company documents confirming that the company or institution legally listed and has the right to enter into contracts and bank obligations.
- Ensure that the person who represents the company has the required legal authority from the partners to engage in banking transactions and credit
- Check for the acceptability, validity and executeability of the support/ collateral documents i.e. promissory note, letter of lien as per the documentation check list.
- Check the credit approval adequacy with respect to credit documentation deferrals and waivers in case of existing as well as new obligors.
- In case of additional support/ collateral being required the documentation supervisor to draw up reports and request the RM to source the required documentation for further processing.
- In case of any observations and/or deficiencies, the RM should be officially notified to clear out the issue.
- Manage credit documentation deferrals and expiries by coordinating with respective businesses and risk managers to mitigate the resulting risks.
- Credit files maintenance including house keeping and safe custody of documentation.
- Draw up and follow up on documentation deficiency reports to the senior management and business units

Requirements

- University Education or relevant professional qualification.
- Relevant banking or legal working experience.
- Ability to plan, organize, manage time and able to work independently.
- Strong risk acumen and awareness, ability and courage to lead and conduct independent investigations on critical issues.
- Good communication and interpersonal skills.
- Good working knowledge on banks products/ services and operations of other departments.
- Knowledge of Transaction Processing Systems, Securing Documentation System and Consolidated Customer Database system is an advantage.
- Sound knowledge of banking practices, relevant legislation and Statutory and Regulatory requirements.
- Proficiency in Excel and PowerPoint, knowledge in MS Access is a plus.
