Job description / Role

Employment: Full Time

The Administration Specialist is responsible for most of the People Services activities from the HR department. Position requires good understanding of HR systems and good administration skills and accuracy to be able to execute payroll, benefits administration, UAE pension and any employee transactions that could impact the HR systems.

The responsibilities for this position are broken down as follows: Local (applicable to the MEO only), Regional (applicable to GMIO) and Global (applicable across GM-defined regions)

- HR Planning: Be the point of contact for Global HR Planning Center (GHRPC). Prepare and submit headcount reports, headcount forecasts, headcount and target transfers, create foundation tables and fields to accurately place and reflect the MEO headcount allocation.
- Payroll: Prepare and execute the monthly payroll for the MEO. Liaise with Finance and third party suppliers in order to ensure payroll process is fully automated and flawlessly executed every month. Prepare audit and year end reports. Provide annual leave accruals to Finance on a monthly basis.
- Benefits Administration: Administer MEO benefits ensuring payments are as per policy. Maintain Benefits data base up to date. Assist MEO employees to understand the benefits policy and requirements to be eligible for payment.
- HR IT: Work in conjunction with the Global Business Services (GBS) team to ensure HR systems and IT tools/programs are up to date and to develop deployment plans for new tools that enable HR people services reducing manual work. Update and maintain the MyServices HR web-page (i.e. uploading calendar, policy updates, forms, etc.)
- HR Operations: Prepare e-sources (transactions templates) to ensure all transactions regarding employee moves are recorded accurately in People Soft.
- UAE National Pension: Prepare the monthly and year end pension documents for UAE nationals employed at MEO. Prepare additions and deletions as they occur.
- Monetary Recognition: Prepare cheque request for recognition amounts to be transferred to the awardees bank account. Report each recognition to the global team via report into the global recognition page.

Requirements

- Diploma/bachelor Degree HR, Business Administration or equivalent training.
- Office administration tasks.
- Payroll and HR systems (People Soft, SAP, etc.).
- UAE National Pension.
- Customer Service.

Skills:
- Excellent written and oral skills in English/Arabic. (Critical for the role)
- Excellent interpersonal skills to effectively work with all, both inside and outside of the company.
- Analytical skills to be able to interpret data.
- Project management skills to manage own projects and tasks.
- Excellent computer skills in MS Office, particularly in MS Excel, MS Word, and PowerPoint.
