Job description / Role

Employment: Full Time

The ECM Manager is responsible for designing content management solutions (such as system solution design visualisations and configurations) from business requirements supporting Manger ECM / SME on all functional developments of ECM, and will play a key role in ECM project implementation company-wide and functions as the company’s ECM expert to provide advice or solutions on information classification matrix, security, taxonomy, metadata, information governance, and process standardization.

As a key member of the Centralized ECM Support Team, you will support the Team to collaborate with stakeholders and end users in every department and partners with IT Department and external consultants to deliver centralized solutions for the management of records and information with an enterprise focus.

Key Responsibilities:
- Establish, implement, and manage ECM policies, standards, and guidelines for each business unit.
- Identify process improvement opportunities and design standardised process e.g. content management workflow for ECM for each business unit.
- Define and manage firm-wide information classification matrix, information security guideline and taxonomy.
- Establish and implement content management and information governance framework for business units.
- Diagnose and map requirements; articulating solution risks and barriers; recommending ECM project approaches and planning full project life cycle in each business units
- Support development of long term ECM strategy by understanding key stakeholders’ objectives
- Support strategic and tactical initiatives of the ECM programme.
- Devise recommendations on ECM solutions to the business units after analysing their business processes, needs and functional requirements, and ECM system capabilities.
- Develop migration strategies to ensure integrity of records and related metadata over the required lifetime of the records as information systems are upgraded or replaced
- Define, track, and report on programme performance measures (including usage, savings and cost avoidance benefits, milestones, resources, and budget) to increase awareness of ECM activities and benefits and make recommendations to improve overall effectiveness of the programme.

Requirements

- Degree holder in related disciplines
- Minimum 8 years relevant experience in ECM implementation with at least 4 years experience in managing projects in multination organizations.
- Experienced with Taxonomy and Metadata definition, classification, and management
- Possess substantial knowledge in enterprise-wide Records Management/Content Management and information governance framework.
- Experienced in functional analysis and requirements and process documentation and process standardization
- Experienced in using / configuring IBM FileNet and SharePoint (preferable)
- Demonstrated project management skill specific for enterprise wide project implementation. Project Management Professional certified will be plus
- Comfortable working with ambiguity, ability to adapt to change quickly and persuade/lead others through the change management process.
- Excellent verbal and written communication and presentation skills.
- Strong facilitative, collaboration, interpersonal and communication skills not only to provide technical and system process information but articulates and sells the benefits of solutions to the varied end users and stakeholders.
- Proficiency with Microsoft Excel, MS Project, PowerPoint, SharePoint.
