HR Officer - Al Futtaim Comprehensive Vechicle Auto Services - Jeddah, KSA

We are currently looking for an experienced HR Officer to join our team in Jeddah, Saudi Arabia. The main purpose of this role is to ensure and follow up with the company relations / transactions with Government sectors, maintain and cultivate good relationships with Government departments and agencies and to support the Human Resource and Administration Team.

Main responsibilities

Government Relations:
- Responsible for all Government Relations. The update to the Management team on Government regulations / Labour Laws / Ministry of Commerce and Industry / Ministry of Communications associated changes with the purpose of maintaining an awareness of Government Department and agency requirements.
- Legal Entity and License:
- Submission of correct documentation to obtain licenses and efficient collection of licenses to take place when completed.
- In charge of application related to Ministries / Municipalities and other significant departments and, in accordance with services such as mobile &and landline phone services (connections/disconnections/repairs), mail, electricity.
- Ensuring company statutory licenses and documents are in place and renewed.

Documentation and Submission:
- The preparation of documents for Iqama Renewals, change of sponsorship etc.
- The arrangement of different types of permits (work permit, siteasccess/ Gate passes, etc)
- Organize periodic renewal of Licenses (Visas, permits, etc)
- Submission of correct documentation related to immigration processes and work permits in front of the concerned authorities (Ministry of Labour and Immigration Dept.)

Visa processing:
- Arrange for different types of visa application (temporary work visa, resident wok visa, visit visa, family visas, etc.). Take, submit & collect all necessary documentation in order to organize all Employee official paperwork.
- In charge of the resident/work permit process (schedule staffs visa, medical, coordinating with other internal and external departments.)
- Collect all appropriate documentation necessary for visa and permits required to be processed.
- Ensure all visas, medical and labour permits are up to date and arrange timely renewal.

Administrating Joining formalities:
- Ensuring ticket, accommodation, phone / BB / sim, computer / Laptop, workstation, stationary, business cards, airport pick-up, initial cash advance, hotel booking for overseas staff are all organised prior to staff arriving
- Indept induction to be conducted twice a month involving a senior manager and handing over the new hire to the concerned HOD / Manager and preparation of Job Descriptions and objectives, in consultation with HOD / Managers for all new comers.
- Monitoring of performance of all probationers during the probation period. Employment confirmation should be intimated to the concerned incumbent 30 days prior to completion of probation. In case of termination notice should be given 30 days prior to completion of probation period. The procedure of endorsing the Probation forms by the departmental head would proceed the above process of confirmation / termination.

Separations:
- Ensure all separation cases are forwarded to HRC before payroll deadline.
- Ensure every employee leaving HRC has an easy & quick exit.
- Ensure separations tracker is up to date.
- Conduct exit interviews for all employees in grade A-F and provide feedback to HRBP

Payroll Administration:
- Collating, checking and entering information for inclusion into the monthly payroll in respect to: additional payments and deductions, overtime and leave in accordance with the Groups payroll schedule and policies.

Selection:
- Liaison with group recruitment on raising vacancies, shortlist resumes, interviews, offer letter processing and etc
- Supporting Line Managers in interviews and assessment activity for roles for all roles.
- Conduct interviews and recommend the hiring of new employees.
- Ensure all new associates have employee numbers, C3 card (if applicable), Insurance card, ID card, ESS and MSS access (if applicable), desktop/laptop/BB/sim card )if applicable)
- Ensure Recruitment report is up to date. Within approved manpower budget.

Requirements

- Must be educated to degree level or above in relevant HR field.
- Candidates must have a demonstrable record of previous Human Resources experience.
- Will be computer literate in Microsoft Office packages
