Spare Parts Coordinator

Job description / Role

SPARE PARTS OPERATIONS:
- Develop procedure of receiving and issuance of spare parts
- Ensure that the spare parts Receive and Issue procedure is followed by the stores team
- Periodical Check on physical stocking of spares
- Regular update of stock count, bin location in the system
- Ensure full parts consumption before end of life (Applicable for Self life spares)
- Ensure spare are stocked according to applicable equipment specification

SPARE PARTS ORDERING:
- New model spares ordering plan to be coordinated from Team
- Replacement ordering with min ordered quantity and Consumption of spare parts in coordination with operation team and client
- Ensure ordering cycle for optimum conditions
- Ensure that spare parts obsolescence is minimum and as per budgeted provisions

VENDOR MANAGEMENT:
- Ensure Vendor in international and local market are constantly in touch and relationship is maintained
- Ensure that the spare parts are procurable within short time and affordable price with quality

MAINTENANCE AND REPORTING:
- Ensure all spares Purchase order are maintained and create document spare library for easy reference and access
- Ensure complete contact list and escalation matrix of all vendors
- Develop and maintain spare parts report for tracking complete stocking inward and outward, along with spare in RMA process
- Maintain Inward / outward documentation / vendor invoice / DC /customs and regulatory documents
- Maintain damage or shortage report and provide RCA in case of any incident

Requirements

MEET KPI:
- Ensure to meet the defined KPI Parameters
- Ensure analyse the KPI report and take corrective actions in coordination with Service Manager
- Provide KPI to the team down the line to meet the company objectives

RMA CLAIMS:
- Ensure that RMA claims process is followed
- Ensure that the credit note is received from the supplier in time (As per vendor agreement)
