Job description / Role

Employment: Full Time

Job Purpose: To provide support to the IP professional team (Dubai) and to ensure that all trade mark work is prosecuted in accordance with the law.

Key responsibilities

GLO Support
- Handle all trade marks and IP requests, such as:
- Visiting the Trade Marks, Patent Office and GCC Patent Office to submit applications, oppositions, searches.
- Following up with the Officials at the Trade Marks, Patent Office and GCC Patent Office as and when instructed by the IP professional team (Dubai).
- Reviewing official files at Trade Marks, Patent Office and GCC Patent Office (if appropriate) to obtain status of applications
- Receiving examination reports from the Trade Marks Office and discussing the examination report with the Officials as and when instructed by the IP professional team (Dubai).
- Input tasks (filing details, examinations, publications, registrations, etc) on the daily report for dissemination to the IP professional team
- Establish and maintain long term relationships with relevant government officials to facilitate obtaining required information, using such contacts as and when required on an ongoing basis.
- Discuss client matters with the IP professional team (Dubai) to try and find solutions to some of the obstacles and difficulties facing clients' requirements and further discuss the proposed solutions with government officials and/or Officials at the Trade Marks, Patent Office and GCC Patent Office in order to obtain the prospected
- Represent partners and other fee earners before government departments with respect to any discussions concerning clients' requirement which sometimes requires holding meetings with high ranking government officials.
- Arranging and finalising the legalisation of documents.
- Cover the duties of other members of the IP professional team during times of holiday or sickness.

Billing Support
- Maintaining petty cash spreadsheet and process in Elite
- Entering time on Carpe Diem time entry system.
- Coordinate draft invoices with the finance department.
- Coordinate with billing/collection assistants on queries regarding receipts, correspondent payments.

Requirements

- Be educated to at least high school level; degree desirable;
- Have at least 2-3 years' of solid GLO and/or administration experience; IP administration experience desirable;
- Have excellent written and spoken Arabic and English;
- Be proactive with excellent organisation skills and the ability to work to tight deadlines;
- Have good interpersonal skills and be able to work under minimal supervision; and
- Be computer literate and have excellent attention to detail.
