Job description / Role

Employment: Full Time

The role is responsible for delivering services to all employees within the organisation, providing employee relations counselling and problem resolution. Including planning and maintaining work systems, procedures and policies for the organisation aligned to the group. Supporting the desired culture and delivery of business objectives. In addition the role is responsible for all On-boarding of new employees.

Core Responsibilities

People Services:
- Develop and implement robust systems and practices enabling timely delivery of HR services with a focus on employee experience.
- Manage the end to end personnel contracts (Including probation, contract renewals and exits).
- Process requests for and issues employment certificates , invitation letters for travel to Oman ,NOC letters , Salary certificates , Salary transfer letters , Visa letters for official and personal visits and any other formal letters needed by individuals.
- Manage the travel management process for employees for all official travel and for new joiners.
- Manages the population of the HR system to ensure that Employee Self-Serve can be implemented efficiently.
- Manages the implementation of the employee Self-serve system and ensures all employees understand how to access and update their own information and gain access to standard letters and other information.
- Ensure that the third party vendors provide timely delivery of medical Insurance benefits to the employees, including supporting claims, delays in payments and clarifications of coverage etc.

Employee Relations, Disciplinary and Grievance:
- Drives different initiates to improve the Employee Experience
- Provide guidance to employees and line managers on matters relating to employee grievance and disciplinary processes
- Supports Line Managers in following the appropriate D&G processes as necessary ensuring that the company interests are protected and the employee supported
- Undertake disciplinary enquiry in cases assigned by the HR management

Government Relations:
- Plan initiatives and activities for the external relationship department.
- Manages the provision of end to end support in obtaining, renewing and updating with and from the ministry and government bodies and regulator relevant approvals, certificates, records, documents for the Employer, Expats and Omani employees, dependent family members, new Joiners and visitors.
- Ensures that all Visas are stored and tracked in order to undertake their renewal on a timely basis.

Adherence People Policy:
- Provide oversight and direction to the employees in the operating unit in accordance with the organizations policies and procedures
- Ensure effective implementation of the policy guidelines on all matters related to people services within the department
- Develops policies and processes for the department scope of accountabilities aligned to the overall People Strategy and in support of the desired culture of the organisation

Business Planning & Team Management:
- Develop short and long-term plans for HR Services and define relevant performance targets, goals and objectives for the respective team members.
- Ensure that the HR Services performance parameters are measured, monitored and reported
- Manage, motivate, coach and appraise staff to enable growth and delivery.
- Ensure all staff have in place a performance contract, are regularly and accurately appraised and have a development plan which is executed.
- Assists the Head of HR Operation in implementation of the departmental strategic plan and specific initiatives of the People Department.
- Manage the HR Services operational, budget and financial responsibilities and activities

Requirements

- Minimum University degree in business administration or in HRM. You have 8 years experience in an HR environment, with 3- 5-years experience in HR Operations including people services and external relations in medium-sized organisation.
- In depth understanding of Employee Relations its aims and objectives and its effective implementation
- In depth experience in providing HR services to all levels of employee
- Significant knowledge of on boarding process - its monitoring and review
- Good understanding of labour laws as interpreted into policy and contract , specifically where related to ER and Disciplinary or Grievance processes
- Should have experience in managing a team.
- Systems Knowledge preferably E-Business Suite, Oracle Applications, HRMS, Self Service
- CIPD/SHRM preferred
