Office Manager - Muscat

A reputable multinational Law Firm is currently recruiting for an Office Manager to be based in Muscat-Oman

Provides administrative support to the Middle East HR Department in the day to day operations of the HR administration in the Muscat office. Manages the recruitment process for the Muscat office and provides support to the management and the employees on HR topics/issues when required.

Relationships
- Reports to the Head of HR - Middle East.
- Reports to the office Managing Partner when required.
- Interacts with all personnel in the Muscat office.
- Interacts with recruitment agencies.
- Supervises the Public Relations Officers (PRO)

Tasks & Responsibilities
- To provide full HR administrative support to the Muscat office with the guidance from the Head of HR - Middle East.
- First point of contact for all HR operational staff queries.
- Advising on standard policy and procedure queries.
- Provides support to PRO(s) when liaising with external agencies and Government Departments regarding the application of visas and Government related documents.
- Placing adverts for roles on relevant job boards and social media, as directed by the Head of HR.
- Searching for appropriate candidates using a variety of search methods and social media, for referral to the Head of HR.
- Initial screening of CVs against pre-defined criteria for Business Services roles.
- Liaising with other Business Services departments to advise of new starters, ensuring facilities are ready for first day.
- Liaising with property agents and sourcing appropriate accommodation for new joiners where appropriate.
- Ensuring any employee's accommodation that are under the Firm's name are monitored and leases are cancelled properly when required.
- General administration for the absenteeism record.
- Coordinate new joiners including assisting in relocation and providing induction.
- Coordinates and manages all visa requirements/issues.
- Liaises with the Ministry of Manpower or Public Authority for Social Insurance as and when required.
- Coordinates with the health insurance company and maintains the employee cover list.
- Ensures performance reviews for all staff are completed annually on the set deadline and kept a copy on file.
- Maintenance of HR management systems records and maintenance of up to date personal files.
- Liaising with other Business Services departments to advise of leavers.
- Coordinate leavers ensuring that all bills, visas, final settlement are completed and finalised.
- Involvement in ad hoc projects as and when required.

Requirements

- Candidates must be highly skilled in administration, preferably in a Legal Environment
- Excellent communication skills required
- Must be able to liaise with employees at all levels and answer/direct enquiries
- Will be required to liaise with other Regional offices
- First point of contact for senior employees in other offices
