Job description / Role

Employment: Full Time

Receptionist-National Omani Hospitality (Dhiaffa) (A subsidiary of Omran)

Purpose: To serve as the first point of contact with visitors and stakeholders of Bunyan and provide assistance to individuals by responding to routine questions; providing general information; answering the main phone line; managing electronic files/ calendars; and performing general clerical and admin duties such as data entry, typing and faxing.

Core Responsibilities:
- Screen and route incoming telephone calls, take messages, and answer incoming queries.
- Greet visitors, sign in and out on guest register.
- Receive deliveries and co-ordinate outside delivery/courier services.
- Answer queries from visitors and callers, and refers them to the appropriate person.
- Receive and send faxes as well as ensure mail and faxes are distributed to the appropriate person accurately and in a timely manner.
- Update phone records, including issuing of extension numbers of Bunyan staff.
- Assists in the ordering, receiving, stocking and distribution of office supplies
- Assist in making general booking/ Reservations Tasks for all travel related matters ie. Visa processing/monitoring, tickets & hotel reservations for employees/ guests.
- Ensure neat appearance of the reception area.
- Welcome visitors and guests and direct appropriately.
- Arranging maintenance visits and logging the duration thereof.
- Coordinate with office boy to service visitors.
- Maintain the general filing system and file all in & out correspondence.
- Assist in the planning and preparation of meetings, conferences and conference telephone calls.
- Respond to public inquiries and secretarial support as required.
- Provide administrative services for the Executive Officers if required.
- Perform other related duties or assignments as directed by the department head.

Requirements

- High School
- Specialist knowledge: Welcoming guest
- Minimum of 1-3 years of experience in a similar role.

Nationality Preference: Omani National
Language Fluency: fluent in English and Arabic.
