Job description / Role

Employment: Full Time

Objectives: Directing and managing Property Management (including Property Quality Assurance, Property Handover, Property Leasing, Facility Management, Customer Care, Contact/ Call Center) the job holder is responsible to efficiently manage and lead several units within a department ensuring the smooth and significant operation in achieving the overall objectives, while exceeding customer expectations in terms of property and community management according to the standards and vision of the company.

Main responsibilities:
- Establish the departmental structure, policies and procedures to provide effective planning and control in order to achieve maximum results based on the departmental as well as the company objectives
- Plan and review the Manpower Structure and Budget with the managers of the departments, subject to the approval of the CEO/ authority matrix
- Identify the needs of the department and areas for improvement through the appraisals conducted periodically, and ensure that all members of the department are well-motivated and developed to increase their effectiveness and commitment in accomplishing exceptionally challenging goals.
- Indicate the root and cause of the problems and provide solutions to each.
- Conduct with project team the property survey to ensure that no default and snag pending before handing over the properties to customers.
- Ensure DLP are existing for all handed over properties and follow with related departments that all properties’ basic insurances are available and renewed promptly.
- Ensure professional service of Contact Centre.
- Coordinate and conduct customer satisfaction survey frequently.
- Ensure collection is done on time for due instalements and Facilities Management due amounts.
- Provide strong leadership and proper guidance to the team in achieving the Department’s MBOs - ensuring, policies and relevant internal issues are well-communicated to all the staff and all objectives are raised at a level each time to maximize the performance of each team.
- Monitor the departmental daily activities ensuring the standard operating procedures are followed by the employees and that customers are receiving the best level of service in all concerned aspects as per the targeted results.
- Ensure that all major issues of customers are resolved in a timely manner, by coordinating with other departments and higher management as required.
- Approve forms and documents as per the Authority Matrix.
- Conduct meetings with Government Authorities, colleagues and the departmental managers on a regular basis or as necessary, to receive updates and feedbacks on the department’s daily operation, and in order to structure preventive measures from negative feedbacks from customers that will stain the image of the company.
- Conduct essential site visits to increase awareness on actual situations going on within the communities.
- Require reports from all the departments periodically, in order to accurately monitor and support the basis of their performance results.
- Represent the department at inter-functional standing and meetings, and contribute to the development and control of realistic plans and policies.

- Customer Care
- Contact Centre & CRM

Subordinates: Multiple: Managers, Assistant Managers, Executives etc
Other interactions: All relevant departments
Number required: 1
Duration: Regular
Desired start date: as soon as possible
Probation: 3 to 6 months
Working Hours: Mon-Fri, 8.30am to 6.00pm
Travel requirements: occasional
Gross monthly base salary: Gross Salary in Pak Rupees, Taxable
Commission / Bonus: Performance based

Requirements

- Bachelors degree in Engineering or Architecture, preferably Masters
- Experience from Top Real Estate and Property Management services with international exposure highly preferred

Other certifications obtained:
- Preferable certifications in Property Management, Facilities Management
