Job description / Role

Employment: Full Time

Key Responsibilities
- General administrative assistance (photocopying, filing, document collation, data entry etc.) to the project team.
- Managing & reconciling ooredoo accounts & handsets.
- Updating and maintaining Asset Register.
- Update and maintain Correspondence & Issues Register.
- Update and maintain IT Register.
- Assist with Travel and Accommodation.
- Prepare & order business cards.
- Assist finance with budget reports for phones & couriers.
- Maintain & allocate IT Equipment & Phones
- Ensuring adequacy of office related equipment and supplies, including ordering, delivery tracking and managing relationships and correspondence with key suppliers of:
- Office equipment and furniture;
- Stationery, printing and mailing supplies; and Couriers.
- Assist with booking of meeting rooms.
- Arranging catering for meetings and other office events.
- Ensuring work area is kept in an orderly manner.
- Organise office layouts and storage.
- Ensuring internally generated mail is posted by close of business on a daily basis.
- Arranging couriers in accordance with policy and procedures.
- Assist with reporting as required.
- Organise company events .
- Maintain contracts correspondence register.
- Update Reports and Meetings correspondence.
- Other Administrative duties as required

OHS & Environment
- Promoting a culture of ‘no injury or harm to people’ and leading by example. Provide training, advice and assistance on HS issues to employees.
- Ensuring that the highest possible standards of accident prevention measures are maintained at all times by ensuring work health & safety procedures are implemented.
- Ensuring that all persons under their control fully understand their obligations under WHS Legislation and are held accountable for the conditions of their workplaces.
- Consulting and communicating with all personnel on WHS matters, procedures, instructions, etc.
- Providing competent supervision, safe work procedures and safe plant, equipment and materials for their employees.

Requirements

- Demonstrated strong administration experience as a personal assistant / office administrator (minimum 3 years).
- Completed secondary education or equivalent.
- Intermediate MS Office Packages.
- High level written and verbal communication skills.
- High level of English Competencies
- Capacity to balance priorities and manage expectations
- Advanced written and verbal communication skills;
- Attention to detail;
- Demonstrated ability to work effectively with limited supervision, to exercise initiative, to set priorities and to work within required time lines;
- Well developed interpersonal skills, with a willingness and capacity to work cooperatively as a team member to meet corporate objectives;
- Demonstrated integrity, resilience and commitment to pursue organisational goals in a changing environment;
