Job description / Role

Employment: Full Time

Ernst & Young's Core Business Services is currently looking for an Executive Secretary to support a Partner and his team.

Supporting Partner and Senior Management in a wide range of activities to ensure the best use of time including:
- Proactively maintain and manage the Partners/Directors’ constantly changing diaries, ensuring the most effective use of time.
- Manage and organize associated travel and accommodation requirements, adhering to EY Travel Policy and producing detailed itineraries.
- Act as first point of contact for internal and external clients and contacts via telephone (call handling) and e-mail.
- Organize all aspects of internal and external meetings, events and conferences and all related logistics.
- Lotus Notes Inbox scanning for urgent client and business critical emails and highlighting to Partner/Director as appropriate (and taking action as appropriate in Partners/Directors absence).
- Prepare and distribute relevant agendas, papers, minutes and other documents as appropriate to ensure that the Partners and Directors are fully briefed in advance of meetings/events .
- Maintain and monitor relevant EY database.
- Any other adhoc secretarial tasks.

Requirements

- Candidate should have a minimum of 5 to 7 years experience previously in similar position.
- Excellent interpersonal skills with ability to build good team relationships.
- Good level of communication skills – both written and oral.
- Good interpersonal skills and thorough knowledge of Secretarial function.
- Proficient in Word, PowerPoint, Excel, Lotus Notes and able to learn new systems quickly.
- Ability to use initiative, problem solve and multi-task.
- High degree of accuracy and attention to detail in dealing with the most routine tasks.
- Good working knowledge of office equipment, including telephone systems, faxes, printers, copies, shredders and binders.
- Strong project management orientation.
