This position has been established to work within the restructured Facilities Development Department, reporting to the Executive Director of Facilities. Its main focus is to support the governance of HMC facilities development and to monitor and track major HMC construction and redevelopment projects, ensuring that the progress of each project from approval of concept to commissioning is reported to the HMC Facilities Development Steering Committee and responsible HMC Executives.

An important role for the Administrator is to support the governance of HMC facilities development through the operation of the HMC Facilities Development Steering Committee; acting as its Executive Officer and ensuring that all the business of that committee is conducted in a timely and professional manner, with all preliminary conferences held and with the full engagement of the members.

Responsibilities:
- Demonstrates knowledge and application of the mission , vision and values of HMC Continuing education, accept mentoring and research latest design trends and best practices
- For the purpose of the job description the term “project” has been used, although it is used together with Program depending on the size and complexity of new developments.
- It is also accepted that each project/program will be managed independently and this post is responsible only for the high level monitoring of such projects.
- All projects/programs will be managed by a Program or Project Director with whom this position will liaise in order to ensure accurate reporting and proper governance of all decision making processes.
- Manage the business of the HMC Facilities Development Steering Committee (FDSC), preparing all agendas and minutes and over-sighting the preparation of working papers and recommendations, ensuring follow up and arranging all briefings and conferences required for decision support.
- Manage the system that has been developed for bringing requests for Approval of Concept and all subsequent phases of the capital works process to the FDSC.
- Support the AMD Facilities Development to meet all information requests from the Managing Director and the Supreme Council for Health in a timely manner with accurate and full disclosure that is well presented and clear in its communication.
- In consultation with Directors and the Manager of the Project Planning and Document Control Team, institute a system of storing and retrieving information relevant to the monitoring of high level projects .
- Establishing a coding system that will uniquely identify each program and project Establish a system for recording, monitoring, and reporting on the current status of each project as it progresses through it’s life cycle
- Electronically file all top level documentation produced during the development life of the project Retain all Master Copies of top level project documentation and monitoring
- Install procedures to ensure the safety and security aspects of the documentation and to control access to them
- Undertake Performance Appraisal of staff

Requirements

- Any Bachelors Degree
- 10 years’ experience in project management and administrative roles.

Language Skills:
English – This position is essentially about communication. A high level of written and spoken English Language is essential and will be tested independently prior to interview

Computer Skills:
Ability to utilize project management software and database applications such as MS office applications essential
