Our client, a large group of companies based in Qatar, is urgently looking for an HR Assistant (Arabic speaker). For this role, you will be expected to ensure high quality HR policies and procedures are in place, incorporating best HR practice. You will develop and implement systems and appropriate tools to improve effectiveness of the HR Department and provide proactive professionals and timely support across organisation to achieve its objectives. Other responsibilities will include but not be limited to:

Provide reports as required, and prepare reminder letters in relation to overdue certificates or documents.
* Coordinate with the PRO for renewal of company documents, visa processing and other related work.
* Coordinate and follow up with Q Shields for the renewal of employee documents.
* To assist with the administrative duties of the appraisal and salary review process. Coordinate with the managers to ensure that the performance appraisal forms are completed for the employees and filed in the employees file.
* Review, update and maintain proper filing of employee personal, educational and professional details, insurance policy, HR handbook, performance appraisal form and training schedules.
* Compile reports of attendance, absences, salaries, and other matters of interest to company management.
* Maintain the schedule for the company drivers and assign tasks in accordance with the requirements of the staff.
* Arrange travel booking and exit visas for the employees.
* Responsible for medical insurance issues and insurance contract renewals (card issuance, member's deletion, medical reimbursements follow up).
* Participating in renegotiations for Medical and Life insurance contract renewal by proposing needed improvements and obtaining alternative quotations from other insurance companies.
* Manage the employee's leaves and attendance and ensure that employees and managers understand the leave and attendance policy.
* Prepare the employees letters needed for external parties i.e., governmental organizations, etc.
* Ensure that employees' files and records are well kept and that employee's information is updated on the HR system.
* Prepare payroll and leave reports needed for the finance department on monthly basis (payroll form).
* Handle HR administrative duties and coordination of activities day operation.
* Provide professional, confidential executive support.
* Develop presentation; prepare summaries, reports, replies to enquiries, and extracting relevant information of various sources.
* Monitoring and updating the staff training process.
* Following up the contract's expiration dates.
* Receiving and screening CV's and coordinating with the agency for interviews.
* Translate various materials from Arabic to English and vice versa.
* Prepare final settlements for resigned and terminated employees.
* Responsible for the implementation and ongoing maintenance of all office policies and procedures.
* Making purchase requisitions and controls sheets (budget) for the HR Department.
* Preparing salary certificates for all employees.
* Greets visitors to the department, routing to the appropriate person.
* Request references from present or past employers of applicants.
* Conduct internet research to locate resumes.
* Keep track of address changes, changes in job titles, benefits, and salaries.
* Perform other duties as assigned by the Group HR Manager.

Requirements

To be considered, you should be a degree holder with minimum 1 year of experience in the same role, having a transferrable visa. Fluency in Arabic language and English is a must. You must be well versed in all functions in HR.
