The Multidisciplinary Team (MDT) Coordinator is directly accountable to the Service Manager and has program accountability to the MDT Clinical Lead.

The role of the MDT Coordinator is to facilitate and coordinate the functions of the weekly MDT meetings for a relevant service area. The MDT Coordinator is responsible for integrating a high level of related information requirements for the specific MDT to which they are assigned.

Activities include relating the provision of accurate information, in the appropriate format, on the current status and past medical history of patients from both paper and electronic systems, from whichever healthcare setting in Qatar or overseas the patient has originated from.

Close and effective liaison with different departments is an essential aspect of this role. Excellent organizational skills and high levels of accuracy are key requirements of this post. The post holder must critically think in variable situations within clearly defined policies, principles and under leadership direction, liaising with multiple healthcare stakeholders across the care delivery system.

Given the interface demanded by this role with clinicians, it is essential that the post-holder has worked in a health setting and is a vocational professional, possessing knowledge of the clinical pathways, medical terminology, and multidisciplinary clinical providers to which they are assigned and has experience of coordinating the related clinical administrative functions of a MDT.

Common Responsibilities

Principal Accountabilities:
- Integrate the related functions and organization of the specific MDT to which they are assigned

Use vocational knowledge to:
- Ensure that the MDT has the most accurate and relevant information about cases upon which to base their decisions during the MDT meeting
- Ensure that any information that is generated as a result of the MDT meeting is routed to the appropriate stakeholders/systems (e.g. registries, patient case notes, Medicom)
- Support the Patient Pathway Coordinator in reviewing and tracking the progress of patients from referral through diagnosis to definitive treatment
- Collect, record, analyze, interpret and report statistical data that is required by the Supreme Council for Health for monitoring of the service and annual targets
- Provide an accurate and timely account of the entire patient pathway in HMC on the appropriate registry
- Communicate and liaise with key personnel in variable situations, working within the hospital and external to the hospital, in order to expedite the patient pathway and provide information on achievement of national targets
- Work flexibly to accommodate the needs of the clinical teams

Communication:
- Excellent communication skills both verbally and written are essential requirements of this post
- Work closely with the Patient Pathway Coordinator and Clinical Lead of the MDT within clearly defined principles and policies to ensure that the MDT has the most accurate and relevant information upon which to base their decisions during the MDT meeting
- Communicate with and develop close working relationships with all members of the MDT, including Consultant Surgeons and Physicians, Consultant Histo-pathologists, Consultant Radiologists, Clinical Nurse Specialists and other appropriate staff, to ensure timely and accurate transfer of information
- Use independent critical thinking skills to ensure that any concerns related to waiting times and treatment schedules in the patient pathway are communicated to the relevant staff in a timely manner
- Present audit results, reports and statistics to the MDT and Service team to meet internal and external reporting requirements

Planning and Organization:
- Organize, attend and facilitate MDT meetings
- Identify and highlight cases within established guidelines to the Clinical Lead of the MDT, prepare and distribute cases for discussion at the MDT using information from patient case notes, radiology and pathology reports
- Use vocational knowledge of healthcare to provide an accurate written record of the cases discussed at the MDT for distribution to the Clinical Lead of the MDT for validation and to MDT members within an agreed timeframe, in accordance with relevant national standards
- Ensure that all newly diagnosed patients are listed for discussion at the MDT meeting to support timely diagnostic and pathway processes for patients
- Monitor the MDT’s progress against relevant national MDT checklists
- Ensure functionality of all audio visual, VC and camera equipment prior to the MDT meeting; secure access to specifically requested online websites, and liaise with technical staff in resolving any technical issues that arise during the meeting

Information Resources/Service Development:

Use analytical skills to:
- Collect, extract and input clinical information on designated cases into a national database, as well as other in-house systems, within strict deadlines
- Retrieve and extract information from various internal information sources, including manual and clinical information systems, such as Medicom, Clinical Portal and patients’ case notes
- Obtain relevant information from other external sources such as hospitals outside of HMC both in Qatar and abroad
- Create and develop spreadsheets, specific data collection forms and processes as required within the Service team in order to monitor hospital performance
- Monitor, validate and ensure the quality and completeness of databases, and follow up any discrepancies with the appropriate clinicians
- Contribute to clinical audit

Requirements

- Bachelor’s degree in business, healthcare, or equivalent
- 2 year post-high school diploma in business administration, healthcare or equivalent

Minimum Experience:
- At least one year of experience of working in a health care provider service coordinating clinical/patient information

Preferred Experience:
- At least two years of experience of coordinating information within the clinical pathway to which they are assigned including information pertaining to the presentation, diagnosis, and definitive management and treatment of patients

Skills
Language Skills: Read, write and speak Arabic preferred but not necessary
Computer Skills: Competent, effective and timely use of e-mail and other communication systems in the sequencing of the patient pathway and dealing with enquiries Competencies
