Job description / Role

Employment: Full Time

Job purpose: PA/Executive secretary acts as the manager's first point of contact with people from both inside and outside the organization. The main role of PA/Executive assistant is to support the work of General Manager and to undertake a variety of administrative, clerical and managerial tasks.

Responsibilities:
- Answering and screening telephone calls, enquiries and requests and handling them when appropriate; taking messages
- Maintaining diaries, arranging appointments and organizing meetings
- Devising and maintaining office systems, including data management and filing;
- Implementing and maintaining procedures/administrative systems
- Liaising with staff, suppliers and clients
- Preparing documents, letters, presentations and reports
- Arranging travel, visas and accommodation and occasionally travelling with the manager to take notes at meetings or to provide general assistance during presentations
- Meeting and greeting visitors at all levels of seniority;
- Dealing with incoming email, faxes and post, often corresponding on behalf of the General Manager;
- Carrying out background research and presenting findings;
- Organizing and attending meetings and ensuring the General Manager is well prepared for meetings;
- Responsible for accounts and budgets;v

Requirements

- At least 2 years of experience in administrative position
- Proficiency in English language (verbal and written)

- Working knowledge of MS Office
- Time Management
- Excellent interpersonal skills
