Job description / Role

Employment: Full Time

The Procurement Expediting Specialist is responsible for reviewing purchase orders (PO) and determining which orders are past due or approaching their delivery dates. They will then contact suppliers to determine what the shipping issues are, if the product is out of stock and needs to be ordered from a different supplier.

Furthermore, responsibilities will include researching and reconciling invoice discrepancies, missing invoices, missing goods receipts, missing payments, etc.

Key responsibilities:
- Generate and Review an ‘Open PO’ report on a weekly basis and identify outstanding activities
- Expedite POs as necessary and follow-up with Suppliers for timely delivery of goods/services
- Receive delivery confirmation from Suppliers
- Follow-up with Requestors to issue GRNs for goods/services received
- Follow-up with Suppliers to ensure timely submission of Invoices
- Follow-up with Finance for payment confirmation
- Liaise with the procurement specialists and ERP team to ‘close’ completed POs in the system
- Generate appropriate status Reports from ERP
- Perform any other duties assigned by the supervisor directly related or relevant to the job

- To a high standard of quality and timeliness
- In full compliance with the SC Quality Policy and the Safety and Security rules and requirements
- In line with any standards and objectives designated in the Employee Performance Management system

Requirements

- Bachelor's Degree in Business Administration or Supply Chain Management or related.
- Professional qualification / certification from procurement professional body, such as the Chartered Institute of Purchasing & Supply (CIPS), is an advantage.
- Minimum 3+ years of experience in PO expediting, or, the aptitude to establish the required skill set to prove successful in the position.
- Strong interpersonal and communication skills – Able to communicate/interact with all levels of management as well as customers and vendors alike.
- Experience with Oracle or another ERP/MRP system, with the ability to enter data efficiently and accurately in ERP systems and other databases.
- Strong working knowledge of Microsoft Office Suite with above average Microsoft Excel skills (i.e. experience with pivot tables and v-lookups).
- Position requires an individual that can work with a strong sense of urgency, speed and adaptability to changing customer requirements.
