Job description / Role

Employment: Full Time

Purpose: Develop, coordinate on and deliver effective proposals. Ensure compliance with all RFP requirements and timely submission

Duties and responsibilities
* Receive tenders and identify due dates with immediate requirements and due submittals, raising, track and document issues
* In coordination with department chief, prepare action log and assign to concerned parties (internal/ external)
* Arrange meetings and prepare/ distribute meeting agendas and minutes of meeting
* Extract/ distribute parts of tender documents to concerned staff and departments or external parties
* Keep communication and contacts information related to each tender in related files or folders
* Lead, coordinate and follow-up on information and deliverables gathering/ sharing from all concerned staff or departments.
* Develop proposal templates on a case by case proposals or ensure that an established template is followed as might be required or instructed
* Manage proposal queries, clarifications or bulletins and submit/ collect/ file/distribute them as applicable
* Make sure proposals contents and deliverables are coordinated, completed and submitted before deadlines
* Communicate the progress of proposals to management
* In general, follow company assurance plans and process, keep and update tenders register and files
* Maintain the physical and electronic filing systems associated with the office of the Executive
* Ensure proper documentation, handling, safe storage and easy retrieval of information
* Assist and give support in S&BD department secretarial issues.

Key Skills
* In-depth knowledge of the proposal development process
* Strong written, verbal, leadership and interpersonal communication skills,
* Ability to work around deadlines with possibility of multiple proposals at the same time.

Requirements

* Bachelor's degree
* Six (6) years of experience in proposals
* With 3 years in a similar role preferably in a medium to large Project Management, Consultant or Contractor organization.
