Employment: Full Time

We are currently working with a Top Multinational legal firm who are looking to recruit an experienced Receptionist for their offices in Doha, Qatar. The successful candidate will ideally have worked for a Legal or Professional Services firm previously. You will be required to carry out all main reception duties and support the staff as and when required, whilst maintaining a professional first impression to all of the firms clients.

The duties are as follows:
- Reception Area - to maintain and manage the Reception area to meet and greet clients and visitors alike.
- Switchboard/Telephones –to manage the main switchboard and deal with the callers.
- Conference Rooms/Conference Catering and Visitors– booking and set up of conference rooms with use of electronic calendar. Conference catering duties organise set up of video Conferencing/IT equipment.
- Hotels - Book hotels where necessary and deal with hoteliers to arrange corporate rates where necessary and keep lists up to date.
- Couriers - manage courier desk and all duties related to this.
- Manage the driver - manage the office driver’s schedule and duties.
- Oaths/Swears - Organise swears of documents
- Additional Secretaries duties when necessary
- Interaction - Input data into Interaction client database.
- Monthly Reception Meetings - Organise and chair a monthly meeting to be held with your Office Manager.
- Personal appearance – to maintain an immaculate person appearance at all times to create a professional image
- Reception Intranet page – to maintain an intranet page of information relating to reception procedures.

Requirements

- Fluent English preferably as a first language with an excellent telephone manner
- To be a confident communicator with immaculate appearance
- Be pro-active and have exceptional organisational skills
- Be able to manage others
- Be able to multi-task
- Be hard working and flexible
- Be discreet and confidentiality is a must
