Employment: Full Time

Senior Mailing Officer - Qatar Airways - Doha

You will be responsible to plan, coordinate and manage an effective mailing center and communications unit to support a smooth day to day operation of the Business units within the QR Group. Develops short term plans, establishing standards and procedures for mail services and communication Centre.

You will also be responsible to establish operating and administrative policies and procedures for the mail center and ensure security, safety and delivery standards are met. Develops short and long term plans to upgrade automation, technology and equipment and maintain state-of-the-art operations. Coordinates mail processing with the HO departments ,outstations and outsiders.

Develops plans and cost estimates for personnel, equipment, vehicles, services and supplies. Provides expert technical advice and consultation on postal regulations, rates, schedules and reviews mail service schedules. Customizes mail centre services to accommodate special mailings, requirements and legally mandate deadlines for all QR departments.

Assesses critical aspects of mail business dynamics and develops effective strategies to attain optimum results. Provides courteous, high quality service to all by personally responding to requests for service or appropriate referrals and historical reference by defining procedures, protection, retrieval, transfer and disposal of records.

Maintains office services by organizing office operations and procedures; controlling correspondence;designing filing systems; reviewing and approving supply requisitions; assigning and monitoring clerical functions.Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.

Designs and implements office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments. Completes operational requirements by scheduling and assigning employees; following up on work results. Keeps management informed by reviewing and analyzing special reports; summarizing information identifying trends.Maintains office staff by recruiting, selecting, orienting and training I coaching /appraising job results etc of employees.

Achieves financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions and contributes to team by accomplishing related results as needed Knowledge of Qatar mailing regulations and rates General office procedures and practices that pertain to high volume, automated mail center operation principles and practices of supervision, performance evaluation, coaching, and training.

Computer applications including spreadsheets, data bases, scheduling, word processing and office systems Contract administration. The General Management System (GMS) in principle and in practice

As for the Skills and Abilities, you should be able to Plan and coordinate the operation of a large central mail center that provides services to all connected with QR group. Establish performance standards and supervise assigned personnel. Conduct mail system evaluations, needs assessments and studies, and formulate recommendations.

Develop program plans and cost estimates. Manage contracts. Prepare statistical reports and contract proposals. Identify problems and resolutions and facilitate change. Provide prompt, efficient and responsive service. Interpret and implement policies, procedures, standards, and regulations

Moreover, Communicate effectively with a variety of individuals representing diverse cultures and backgrounds and function calmly in situations that require a high degree of sensitivity, tact, and diplomacy.

Requirements

You will have a Bachelor's Degree or equivalent and 5 years of Job related experience is required. The ability to set clear direction and manage workflow is also required and a high level of ethical standards in a diverse work environment.
