Job description / Role

Employment: Full Time

Purpose
Collect, consolidate and prioritize issues requiring CEO’s attention from across the business. Ensure CEO’s schedule and meeting agenda are setup based on the business priorities. Facilitate meetings with concerned directorates and external parties and follow up to report on actions taken and progress made on the relevant tasks

Accountabilities

Policies and Procedures
• Develop and implement departmental policies, systems, procedures and controls to ensure objectivity, efficiency and effectiveness of operations.

Operations
• Conduct risk reviews with Leadership Team prior to Board meetings.
• Assist the Legal Counsel in preparation of Board presentations and materials.
• Schedule and co-ordinate management meetings including weekly, monthly and off-site meetings as required.
• Take and communicate minutes of Leadership meetings and action items.
• Take and communicate minutes of meetings and action items of all meetings organized by CEO office and as per request.
• Liaise with Leadership Team and Senior Management regarding key issues and present them to the CEO for consideration and discussion.
• Follow up and document action points from weekly Leadership Team meeting with Leadership and the CEO.
• Update Action Log and follow up to move actions forward according to agree timescales.
• Ensure CEO is updated with Management Committee items, discussions and action points, including action progress, risks and resolutions.
• Analyze and streamline information from departments to the CEO office, presenting reports to the CEO of key items and summary of why other items have been filtered out
• Conduct gap analysis for proposals presented to the CEO from internal and external sources
• Receive and review submissions from “Ask Company Management”, clarifying further details with the individual concerned and making recommendations or presenting solutions to issues raised to the Leadership Team
• Follow up with external parties on behalf of the CEO.
• Draft internal communications based on corporate guidelines.
• Develop monitoring templates in conjunction with the leadership team to track KPIs against targets, highlight any variances, and issue reports to the concerned directorates with input from Corporate Strategy

Requirements

• Bachelor’s degree in business or management. MBA preferred.
• 5 - 7 years of experience in KPIs & Reporting in a large Real Estate company.

Job-Specific Skills:
• Excellent communication and interpersonal skills. Bilingual preferred.
• Experience in progress reporting and in handling multiple tasks and deadlines
• Excellent Organization skills
• Analytical, problem solving and decision making skills
