Employment: Full Time

We have a vacancy for an Office Administrator to work with our Project Team in Riyadh, Saudi Arabia.The successful candidate will be working in Riyadh.

The Office Administrator/Accountant will be responsible for the following activities:
- Assist and support the Project Director in all activities associated with the day to day logistics of running a high profile project
- Responsibility for calendar and meeting management for the Project Team, as well as for visiting staff from other locations
- Arranging logistics relating to travel, hotels, transport etc. for Project Team and visiting specialists;
- Receiving and managing visitors to the Project office
- Answer phones and direction of all calls and dealing with issues arising.
- Coordinate meetings
- Assist the Project Team and Management with preparation of presentation materials, agendas of meetings as needed (preparation, printing, translation, document compilation etc....)
- Maintenance of the Office/Project filing system both electronically and in hard copy;
- Maintenance of the Project deliverable recording system;
- Control, issue and maintenance of the Project office supplies;
- Preparation of the impress account monthly cash return statement;
- Assist the Project Director in the preparation of monthly project budget requirements, including communication to head office for approvals and transfer requirements;
- Payment of suppliers invoices and maintenance of invoice database;
- Management of petty cash disbursement and reconciliation;
- Follow-up accounting & Tax activities with local support and third party firms
- Coordination and cost-effective arrangements for accommodation, transport, permits and Office Administrator/Accountant – Saudi Arabia logistics for long and short term staff engaged on projects in Saudi Arabia
- Manage the administration associated with transport vehicles (Insurance, maintenance schedules etc.)
- Follow-up with company registrations, compliance and permits for the efficient running of local company and office
- Assist head office in the implementation and maintenance of processes and controls
- Any other issues that arise in execution of business in Saudi Arabia and that can be reasonably executed.

Requirements

- Experience managing the office of a large Indigenous or multinational organization would be a distinct advantage
- Experience of Power Utility Business or Engineering Consultancy would also be a distinct advantage
- Experience supporting and coordinating Project Teams or Executive Teams at Senior management and executive level,
- Book-keeping experience is essential with excellent analytical skills and attention to detail
- Ability to work on own initiative and to deadlines (Report Deadlines, Closure of Monthly Accounts)
- Excellent Communication Skills and understanding of Public Relations
- Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
- Excellent command of English both verbally and written,
- Experience of working in the Kingdom of Saudi Arabia would be a distinct advantage
