Job description / Role

Employment: Full Time

• Provide administrative support to the GM and the Operations department
• Support the team with work and business visas, management of employee database, renewals, permits, visas, medical insurance for new starters, updates and cancellations
• Ensuring management is aware of team movements, annual leave, sickness etc
• Typing of correspondence, reports, minutes and presentation documents, ensuring all documentation is referenced and presented in accordance with guidelines
• Supporting with general recruitment, including advertising roles on social media platforms, researching and sourcing candidates, arranging interviews and coordinating diaries, management of the recruitment mailbox and Applicant Tracking System
• Arrange travel and accommodation as required
• Supporting and assisting the Bid and marketing team on bids, preparation of work winning collateral (project profiles, CVs, case studies, capability statements)
• Project support: occasionally assist project team members and Document Controllers with backup support when required, new projects, site set up etc
• Any other duties requested by the GM, Directors, Business Managers and the team.
• Management of office security systems (door and camera)
• Support office with management of external cleaning staff
• Responsibility for office maintenance i.e. quality of decoration, repairs where necessary
• Ensure clear desk policy is maintained and storage and archiving are utilised effectively and efficiently
• Coordinator with Business Administrator for the receipt and set up of computer equipment for all new staff including IT induction for all new employees
• Maintain small stock of PPE; supply all new starters with all relevant PPE and maintain PPE register

Requirements

Person Specification:
• Previous experience in a similar role
• Excellent communication skills, both written and verbal
• Proven IT skills in particular, Word, Outlook, Excel and PowerPoint
• Ability to produce graphics in Microsoft Office suite and/or Adobe suite
• Proactive individual, who can work as part of a team and on own initiative
• Flexibility is required from time to time with respect to hours of work in order to accommodate the General Manager, Directors and Operations team deadline requirements
• Excellent organisational skills
• An analytical and methodical approach to problems
• Be able to act quickly and decisively
• Have a good eye for detail and attention to detail
• Possess a customer focussed approach
• Initiative and self-motivation
• Excellent organisational and time management skills
• The ability to work under pressure to meet deadlines
