Job description / Role

Employment: Full Time

We are looking for an Executive Assistant who will report directly to the CEO providing him a wide variety of highly responsible, complex, and confidential office administrative and secretarial/office support duties.

Key Responsibilities
• Arrange meetings and manage the calendar scheduling for the CEO and coordinate with concerned members to ensure attendance in meetings.
• Coordinate and schedule other departmental meeting, prepare meeting agenda, follow up on attendance and record minutes of meeting and resolutions for the meetings.
• Organize, arrange and prepare documentation for meetings and presentations (both internal & external) in order to ensure the achievement of objectives for each meeting/presentation in all necessary pre & past meeting action is completed.
• Handle all internal and external correspondences for the CEO to ensure follow up and dispatch of the same.
• Take and transcribe dictation, type internal correspondences, memos, reports with inputs from the respective team members, and compose and prepare confidential correspondence, reports and other complex documents to assist the CEO in managing correspondences.
• Follow up on messages, issues and carry out various administrative tasks through effective coordination thus ensuring on time completion of work in an effective manner.
• Record and relay accurate timely messages from clients on telephone, email and hand given and provide adequate information where needed to ensure proper communication between the teams.
• Handle business travel plans and arrangements including air tickets, hotel rooms and conference registering/ business meeting arrangements so as to ensure on time procurement of everything and thereby help in smooth transactions.
• Implement accurate database and filing system to maintain records of all departmental correspondence, documents & reports.
• Update, maintain and store departmental files and departmental documents in a confidential manner for documentation and record purposes ensuring easy retrieval.

Requirements

Knowledge & Experience
Minimum Qualification:
• Holding a Bachelor degree in HR, Business Administration, or closely related field

Minimum experience:
• Strong administrative/secretarial and office support skills
• Extensive experience with MS Office applications
• Good communication skills in English
• Good communication skills in Arabic is a plus
