Job description / Role

Employment: Full Time

Objectives: Use independent judgment to provide timely and effective secretarial support to an office, business unit, department, or other organization group.

Main responsibilities:
- Answer telephones, screen calls and take messages from external or internal sources so that callers/visitors are dealt with promptly, courteously, and accurately
- Respond to more complex or escalated enquiries from other secretarial staff.
- May have access to the email accounts of staff supported to schedule their appointments and answer or redirect routine enquiries from internal or external sources.
- Accurately transcribe, type, format, and proof read a wide variety of material (for example correspondence, invoices, contracts, meeting minutes, reports, speeches, and presentations)
- Using word processing, presentation, graphics and spreadsheet software.
- May use desk top publishing software to design more complex documents.
- Coordinate internal and external meetings so that they run smoothly including scheduling meeting time, making travel arrangements for attendees.
- Perform other administrative tasks using independent judgment and discretion.
- Plan, organize, and schedule own workload so that these activities are completed accurately and on time.
- Preparing documents and presentation materials, screening and responding to incoming correspondence, inquiries, and phone calls
- Drafting letters and official information releases, arranging and attending meetings, taking and distributing minutes.
- Coach and mentor less experienced secretarial help desk staff to help them resolve problems.

Reporting to: General Manager

Requirements

- Bachelors Degree in Public Relation
- Preferable Diploma in Secretarial
- 3 years experience in similar field
