Employment: Full Time

Position Title: Administration Manager

Position Objective: This role is responsible for ensuring the smooth day-to-day operation of all Apparel Group Offices, and supervising maintenance tasks to uphold a safe, tidy, and efficient work environment.

Key Responsibilities:

- Conduct regular inspections of the office premises to uphold cleanliness standards, promptly address the maintenance needs, and ensure a well-maintained environment for optimal functionality.
- Manage office facilities and maintenance, including but not limited to equipment, furniture, utilities, and safety protocols.
- Coordinate with external vendors and service providers for scheduling facility maintenance, repairs, and upgrades when needed.
- Manage office supplies inventory and procurement processes, ensuring adequate stock levels while optimizing costs.
- Collaborate with Department Heads to understand their needs and requirements for office space and facilities.
- Assist in the planning and execution of office space utilization and layout optimization projects.
- Plan and oversee office renovations and expansions, coordinating with external vendors and internal stakeholders.
- Manages and reviews service contracts, tenancy contracts and PO. Boxes.
- Handle administrative tasks such as conducting meetings, managing correspondence, preparing reports and maintaining records.

Requirements

- Prepares budget and monitors costs of Admin Department.
- Review the monthly administration costing report and notify the accounts payable team if any adjustments are necessary
- Keep track of Offices' Tenancy contracts renewal notice, P.O. Boxes, Utilities and Bills Payments.
- Address employees queries regarding office management related issues.
- Oversees and supervises the quality of work of the staffs to ensure that all tasks are performed correctly, efficiently, and effectively.
- Stay updated on industry best practices and emerging trends in office management and administration.
- Implement energy-saving initiatives and sustainable practices to reduce the company's environmental footprint.
