Job description / Role

Employment: Full Time

Job Summary:
- Efficiently execute all Administration activities for the company.

Job Responsibilities:
- Maintain safe custody of the original passports of employees.
- Process and obtain business/ visit visas from consulates of respective countries to which employees of the company travel for official purposes.
- Document custodian for Company Corporate and its branches.
- Periodic renewals of tenancy contracts & lease agreements.
- Appraise team members based on goals set and communicate vision for the next year.
- Manpower Planning and Budgeting, HRIS, Performance Appraisals.
- Budget controls towards ‘spend’ are within the approved budgets.
- Monitor all the expenses in relation to the budget owned by Administration.
- Garden and Gate Maintenance Management.
- Physical security maintenance management.
- Staff accommodations and Canteen Operations related issues.
- Uniforms Management & Sourcing.
- Facility Management for the regions.

Staff Related Functions
- Manages the visa department and the team.
- Monitor all transactions of visa, labor and immigration to provide services to employees in compliance with UAE labour regulations.
- Liaise with Emigration and Manpower Authorities towards Clearance obtainment for the company.
- Render support to Visa & Passport Section towards documentation and Government Liaisons.
- Maintain and Update in Oracle HRMS, information pertaining to passport, work permit and residence visa, to enable efficient handling of related activities.
- Process and coordinate with Labor & Immigration Department for all activities related to obtaining approvals to ensure uninterrupted legal/residence status for employees of Company’s Group.
- Liaise and maintain the relation with the governmental bodies like General Directorate of Residency & Naturalization Department, Ministry of Human Resources & Emiratization, Dubai Health Authority, Amer Services, Identity & Citizenship Authority, Tasheel, Tawafuq etc. for smooth operations and transactions.

Requirements

Qualification, experience and skills:
- Minimum of Bachelor’s degree in Business Administration or equivalent
- MS Office programs
- 5 years’ experience in same field.
- Proven ability & experience in leading / directing the work of others
- Knowledge of administrative and clerical procedures and systems
- Effective at time management & meeting deadlines
- Typing, planning and organizing skills
- Prioritization, coordination, follow-up skills
- Good communication skills
